Advanced Dental Design PC Ada, Oklahoma About Us: Advanced Dental Design PC, serving Ada, Oklahoma, since 2005, is entering an exciting growth phase! We are constructing a new, state-of-the-art dental office and expanding our services into the innovative field of Cosmetic and Aesthetic Medicine. We will proudly offer advanced treatments such as Regenerative Medicine (Plasma Rich Fibrin - PRF), Bio Fillers, Hyaluronic Acid Fillers, Botox, and advanced skin treatments. Job Summary: We seek an energetic, detail-oriented, and friendly Front Office Receptionist to be our patients' vital first point of contact. In this key role, you will manage essential front office functions that ensure the smooth operation of our busy practice. From warmly greeting patients to efficiently handling insurance filings, assisting with treatment plans, and processing payments, you will create a positive and seamless patient experience in our dental and cosmetic service areas. A genuine interest in Cosmetic and Aesthetic Medicine is a significant plus as we continue to broaden our offerings in this dynamic field. Key Responsibilities: • Warmly Greet: Welcome patients and visitors with a friendly, professional, and reassuring demeanor, creating a positive first impression. • Manage Communications: Answer and expertly manage incoming phone calls and patient inquiries, and efficiently schedule and confirm appointments for both dental and cosmetic services. • Insurance & Records: Assist in meticulously updating patient insurance information and accurately filing and submitting insurance claims; maintain organized and confidential patient records (both physical and digital). • Treatment Plans: Thoughtfully review and assist in developing patient treatment plans, clearly explaining procedures and ensuring they understand their options and financial responsibilities. • Payment Processing: Collect and accurately process patient payments and handle basic accounting tasks, including preparing clear and concise billing statements. • Patient Forms & Flow: Proactively help patients complete any required intake and medical forms, ensuring a smooth and efficient check-in process. • Team Collaboration: Coordinate effectively with our dental and cosmetic teams to provide seamless and exceptional patient care across all service areas. • Office Organization: Maintain a well-organized, professional, and welcoming reception area. Manage office supplies, sort mail, and assist with other administrative tasks to ensure efficient front office operations. Qualifications: • Outgoing, genuinely friendly, and consistently positive attitude with exceptional interpersonal and communication skills – you will be a warm and welcoming presence! • Strong organizational skills, meticulous attention to detail, and familiarity with computers and basic office software. • Previous experience in a dental or medical office environment is preferred, but we are willing to train a motivated and enthusiastic individual with the right aptitude. • Experience with insurance filing, assisting with treatment plan presentation, and payment collection is a significant asset. • A strong team player with a proactive approach and a keen interest in the growing field of Cosmetic and Aesthetic Medicine. • A high school diploma or equivalent is required; additional administrative or medical office training is a plus. • Willing to train the right candidate.
