We are seeking an Entry Level Travel Assistant – Remote Customer Support & Itinerary Planning Specialist to join our dynamic, distributed workforce. Key Responsibilities

Travel Arrangement and Booking

  • Assist clients and internal team members with booking flights, hotels, rental cars, cruises, rail passes, and ground transportation options across a wide variety of destinations.
  • Research and compare travel suppliers, vendors, and platforms to identify options that align with each traveler's preferences, schedule, and budget.
  • Prepare, review, and finalize all travel documents with a strong emphasis on accuracy, completeness, and timeliness.
  • Coordinate complex multi-leg itineraries that may include international connections, group travel, or special accommodation requests.

Customer Service and Client Experience

  • Serve as the primary point of contact for travelers throughout the planning process and during their trips, responding to inquiries with professionalism, empathy, and efficiency.
  • Address concerns related to cancellations, delays, schedule changes, lost reservations, or unexpected disruptions, working proactively to find solutions.
  • Deliver a consistently high level of service that creates positive, lasting impressions and encourages repeat business and referrals.
  • Document all client interactions in the arenaflex system to ensure continuity of service and to support future travel planning.

Itinerary Management and Logistics

  • Create and maintain comprehensive, easy-to-follow itineraries that include flight schedules, hotel confirmations, activity bookings, restaurant reservations, and destination tips.
  • Collaborate with airlines, hotel chains, tour operators, cruise lines, and local service providers to confirm availability, pricing, and special requests.
  • Prepare detailed quotes, cost estimates, and itemized invoices for client review and approval, ensuring full transparency in pricing.
  • Monitor upcoming travel for accuracy, flagging potential conflicts or missing components before they become issues.

Industry Research and Continuous Improvement

  • Stay current on travel trends, destination updates, visa requirements, seasonal events, and supplier promotions to provide informed recommendations.
  • Participate in ongoing training sessions and certification programs offered through arenaflex and its travel industry partners.
  • Contribute ideas to improve internal processes, customer communication templates, and itinerary presentation standards.

Qualifications

Essential Qualifications

  • High school diploma or equivalent; additional education in hospitality, tourism, communications, or business is a plus but not required.
  • Strong organizational skills with the ability to manage multiple tasks, deadlines, and client requests simultaneously.
  • Excellent written and verbal communication skills, with a professional and approachable demeanor.
