Why This Role Matters

The Virtual Customer Care Representative is the frontline guardian of our homeowners’ warranty experience. In this role, you will ensure that every home in your assigned community receives the highest level of service, from the moment a warranty claim is opened until the final resolution. By coordinating trade partners, supervising on‑site activities, and cultivating positive relationships with homeowners, you will directly contribute to arenaflex’s reputation for zero‑defect homes and unparalleled customer care.

Key Responsibilities – What You’ll Do Every Day

  • Homeowner Advocacy: Promote, facilitate, and nurture positive working relationships with arenaflex homeowners and trade partners, acting as the trusted point of contact for warranty issues.
  • Judgment & Discretion: Exercise sound judgment when handling sensitive homeowner concerns, ensuring resolutions are fair, timely, and aligned with company standards.
  • Trade Partner Coordination: Manage daily activities of trade partners, aligning schedules, scopes of work, and quality expectations with the warranty program.
  • Invoice Approval: Review and approve trade partner invoices up to $1,250 after confirming satisfactory completion of work.
  • Issue Resolution: Proactively address scheduling conflicts, communication gaps, or payment issues that arise with trade partners.
  • Product Knowledge: Understand manufacturer recommendations for product use and application, ensuring warranty work complies with technical specifications.
  • Pre‑Closing & Post‑Close Activities: Conduct pre‑closing meetings, home demonstrations, celebratory events, and 30‑day post‑close visits to reinforce homeowner confidence.
  • Certification & Documentation: Review, certify, and document the completion of warranty work for each home within your community.
  • Community Expertise: Become an expert on local HOA rules, school districts, amenities, and neighborhood features to provide homeowners with valuable insights.
  • Facility Oversight: Supervise the condition of community assets such as entry features, roadways, ponds, common areas, model centers, and signage, ensuring they meet arenaflex standards.
  • Collaboration: Conduct field meetings with trade partners, construction crews, and sales teams to align expectations and share progress updates.

Essential Qualifications – What You Need to Succeed

  • High School Diploma or equivalent (required). A Bachelor’s degree in Construction Management, Business Administration, or a related field is preferred.
  • Minimum of 3 years’ experience directing, coordinating, and supervising work in a customer‑facing role, preferably within the homebuilding or construction industry.
  • Valid driver’s license with a clean driving record and personal auto insurance coverage.
  • Advanced knowledge of scheduling, budgeting, and document management tools.
  • Ability to read and interpret architectural blueprints and construction drawings.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with warranty management software.
  • Exceptional verbal and written communication skills, with a strong focus on follow‑up and time management.

  • Certification in project management (e.g., PMP) or construction safety (e.g., OSHA).

  • Fluency in a second language, enhancing communication with diverse homeowner populations.
