As a Customer Service Specialist at arenaflex, you will play an instrumental role in supporting the operational backbone of our domestic commercial business. Your work will directly influence the timely delivery of essential medicines to wholesale distributors, regional partners, retail accounts, and healthcare providers who together represent 98% of US pharmaceutical sales. About the Role

The Customer Service Specialist at arenaflex is responsible for supporting top-tier domestic customers, including wholesale partners, the largest regional accounts, and retail customers. You will be entrusted with the day-to-day order management of vital pharmaceutical products, utilizing the comprehensive Order to Cash process to drive order deliverables that ensure on-time and complete delivery of crucial medicines. Your work will involve timely research and resolution of customer inquiries related to shipping logistics, pricing discrepancies, and product returns, all while maintaining the highest standards of accuracy and professionalism.

This position supports Customer Operations functions and drives sample EDI, IDOC, and inventory reconciliation with our third-party logistics (3PL) partners. You will collaborate extensively with business partners throughout the organization to ensure customer loyalty and achieve the company’s sales and revenue objectives, measured through customer scorecards. Performance in this role must reflect the highest level of operational effectiveness while delivering exceptional customer service that strengthens arenaflex’s reputation as a trusted pharmaceutical partner.

Key Responsibilities

High-Profile Order and Sample Ownership

  • Take full ownership of high-profile customer orders and samples, including order entry, order status tracking, document creation, and order release monitoring through comprehensive order validations.
  • Monitor and resolve suspicious order situations in compliance with regulatory requirements.
  • Manage IDOC error resolution, shipment tracking, sales recognition, and document management for diverse order types.
  • Process orders received via EDI, fax, email, and phone for prescription (RX), over-the-counter (OTC), and controlled drugs, as well as serialized products and clinical trial materials.

EDI and IDOC Oversight

  • Provide dedicated oversight of EDI IDOCs, including active monitoring and timely resolution of any transactional issues that arise.
  • Serve as an escalation point for correspondence between stakeholders and cross-functional teams, ensuring that concerns are addressed promptly and effectively.

Open Order Monitoring and Issue Resolution

  • Conduct daily review of team open order monitoring reports to identify and resolve issues before they impact customer experience.
  • Identify inventory discrepancies and coordinate follow-up with internal stakeholders, 3PL partners, or Global Information Technology teams to achieve timely and accurate resolution.
  • Track and trend inventory reconciliation issues, providing insights that inform continuous improvement efforts.

Stakeholder Service and Communication

  • Provide exceptional service to arenaflex National Wholesale Directors, Executives, and OTC Leadership, as well as arenaflex vendors, wholesale and retail customers, sales force members, healthcare providers, government agencies, hospitals, and institutions.
  • Design and generate standard and ad hoc reports for tracking, monitoring, and analyzing critical operational data.
  • Drive arenaflex project initiatives and deliverables to established timelines and budgets, with particular focus on all sample order activities.

Continuous Improvement and Process Optimization

  • Develop and refine Key Performance Indicators (KPIs) to ensure that sample orders are processed and delivered according to customer needs and internal service-level expectations.
  • Identify and initiate process improvements where applicable, championing superior customer service delivery across the organization.

Compliance and Regulatory Adherence

  • Complete and apply all quality, regulatory safety, and compliance training in accordance with arenaflex standards and industry requirements.
  • Fulfill audit documentation requirements for Internal Quality teams and external regulatory agencies, particularly as they relate to sample order activities.

Essential and Preferred Qualifications

Educational Background and Experience

  • Bachelor’s degree required, OR in lieu of a degree, a minimum of three to five years of customer service-related experience, preferably in the pharmaceutical or healthcare industry.
  • Working experience with SAP or comparable enterprise resource planning (ERP) systems is strongly preferred.

Technical Proficiency

  • Proficient in key software applications, including the full Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated competency with ERP systems; SAP experience preferred.
  • Familiarity with current Good Manufacturing Practices (cGMP), Food and Drug Administration (FDA) regulations, and the principles and practices governing pharmaceutical marketing and manufacturing is preferred.

Compensation, Perks, and Benefits

arenaflex offers a comprehensive and competitive compensation package designed to attract and retain top talent. The compensation range for this position will be determined based on job grade, geographic location, and a variety of individual factors including skills, experience, and qualifications. We may ultimately pay more or less than the posted range, and the range may be modified in the future as business needs evolve.

Eligible employees can participate in our 401(k) retirement savings program, and this position is eligible to participate in our short-term incentive programs.
