Across multiple locations in Prescott, we host thousands of guests each year—school groups, retreats, weddings, and outdoor education programs. We’re seeking a Rental Director to lead and grow our entire rental program. This is a senior leadership role responsible for the performance, health, and guest experience of a multi-site operation. You are not just managing bookings—you are running the system that makes every guest experience possible. What You’ll Do As Rental Director, you will oversee the full rental program across all CampWay locations, leading both people and operations while ensuring exceptional guest experiences and strong financial performance. Leadership & Team Management

  • Lead and support rental department staff across all sites
  • Set clear expectations, coach performance, and address issues directly when needed
  • Build a strong team culture rooted in accountability, communication, and ownership
  • Assign hosting schedules and on-call rotations across the team
  • Serve as the escalation point for complex staff or guest situations
  • Support hiring decisions and overall team development

Rental Operations Oversight

  • Oversee the full booking lifecycle from inquiry through post-stay follow-up
  • Ensure consistent execution across retreats, weddings, outdoor education, and campus rentals
  • Build and improve internal systems (run-of-show documents, CRM workflows, checklists, and handoffs)
  • Lead pre-arrival operational meetings and ensure readiness across departments
  • Step in on-site for high-value or complex group arrivals when needed
  • Ensure smooth, effective use of HubSpot for pipeline and client management

Client Experience & Relationships

  • Serve as senior point of contact for key, repeat, or high-priority clients
  • Handle escalated client concerns with professionalism and solution-focused leadership
  • Conduct site tours and support high-level sales conversations when needed
  • Strengthen long-term relationships that drive repeat bookings and partnerships
  • Ensure the team is building strong, consistent client connections

Financial & Strategic Leadership

  • Track occupancy, revenue, and performance trends across all sites
  • Identify opportunities to increase revenue through retention and optimization
  • Manage program performance within budget expectations
  • Provide regular reporting and strategic insight to the executive team
  • Contribute to long-term planning, pricing strategy, and program development

Schedule & On-Call Expectations This role carries ultimate responsibility for guest experience and program performance.

  • Participation in a shared on-call rotation is required
  • You are the final escalation point for issues beyond coordinator or staff authority
  • Occasional after-hours or weekend availability is expected
  • Most evenings are quiet, but responsiveness when needed is essential

What We’re Looking For

  • 3+ years in hospitality, retreat operations, camp leadership, or event management
  • Proven experience managing teams and addressing performance issues directly
  • Strong operational and logistical thinking across complex group programming
  • Experience with CRM systems (HubSpot preferred)
  • Excellent communication and relationship-building skills
  • Calm, decisive leadership in fast-paced or high-pressure environments
  • Genuine appreciation for outdoor, camp, or mission-driven experiences
