Job Responsibilities

As an Experienced Customer Service Representative - Scheduling, you will be responsible for the following key duties:

  • Training and Development: Actively participate in the training of all Customer Service personnel, including new hires, to ensure that our team is equipped with the knowledge and skills necessary to deliver exceptional patient care.
  • Communication: Answer phone calls and emails from patients, Respiratory Therapists, and other stakeholders, providing timely and accurate information to resolve scheduling conflicts and ensure seamless communication.
  • Scheduling: Make outbound phone calls to schedule patients' appointments, including reminder appointment calls, to ensure that our patients receive the care they need in a timely manner.
  • Coordination: Coordinate with Respiratory Therapists about schedules, patients, and any changes, ensuring that our team is aligned and working together to deliver exceptional patient care.
  • Conflict Resolution: Resolve scheduling conflicts as they occur, using your exceptional communication and problem-solving skills to find solutions that meet the needs of all parties involved.
  • Data Management: Delete, correct, or re-enter patient information in customer accounts and software as deemed necessary, ensuring that our records are accurate and up-to-date.

Essential Qualifications

To be successful in this role, you will need to possess the following essential qualifications:

  • High School Diploma or Equivalent: A high school diploma or equivalent is required for this role.
  • Customer Service Experience: A minimum of 1-2 years of customer service experience, preferably in a healthcare setting.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to communicate effectively with patients, Respiratory Therapists, and other stakeholders.
  • Problem-Solving Skills: Strong problem-solving skills, with the ability to resolve scheduling conflicts and find solutions that meet the needs of all parties involved.
  • Data Management Skills: Basic data management skills, with the ability to accurately and efficiently manage patient information in customer accounts and software.

Preferred Qualifications

While not required, the following qualifications are preferred for this role:

  • Associate's or Bachelor's Degree: An associate's or bachelor's degree in a related field, such as healthcare administration or business administration.
  • Certification: Certification in customer service or a related field, such as Certified Customer Service Representative (CCSR) or Certified Healthcare Administrative Professional (CHAP).
  • Experience with Electronic Health Records (EHRs): Experience with EHRs, such as Epic or Cerner, is a plus.
