Responsibilities:

As an Administrative Assistant / Data Entry Clerk at arenaflex, you'll be responsible for:

  • Fielding Inbound Communications: Answering phone calls, responding to general email inquiries, and routing them to the appropriate internal parties as needed.
  • Coordinating Scheduling: Setting up meetings based on cross-functional availability for both internal and external stakeholders, ensuring seamless communication and collaboration.
  • Organizing Internal Resources: Building and maintaining processes to keep files and office supplies organized, easily accessible, and up-to-date.
  • Liaising with Visitors: Acting as the point person for office guests, ensuring a warm and welcoming experience for everyone who visits our office.
  • Communicating Policies and Procedures: Alerting employees of new processes, rules, and regulations, ensuring everyone is informed and up-to-date.
  • Facilitating Executive-Level Operations: Booking travel, submitting expense reports, and sending communications for high-level staff as needed, providing exceptional support to our leadership team.

Requirements:

To succeed in this role, you'll need:

  • High School Diploma: A minimum educational requirement for this position.
  • 1-2 Years of Experience: As an administrative assistant, secretary, or receptionist, with a proven track record of success in a fast-paced environment.
  • Strong Organizational, Communication, and Time-Management Skills: The ability to prioritize tasks, manage multiple projects, and communicate effectively with colleagues, stakeholders, and clients.
  • Positive, High-Energy Attitude: A contagious enthusiasm for delivering exceptional results and supporting your team members.
  • Resourcefulness, Creativity, and Problem-Solving Skills: The ability to think critically, come up with innovative solutions, and adapt to changing circumstances.
