Key Responsibilities

As a Customer Service Support Specialist, your primary responsibilities will include:

  • Creating and maintaining accurate Excel spreadsheets with product data to ensure seamless operations and informed decision-making.
  • Updating and maintaining master product files to guarantee up-to-date information and efficient order processing.
  • Sending invoices and shipment details promptly to customers, ensuring timely and accurate communication.
  • Managing product data in shipping portals to streamline logistics and reduce errors.
  • Editing and uploading images for web use to enhance the customer experience and showcase products effectively.
  • Responding to customer and supplier inquiries in a timely and professional manner, resolving issues promptly and efficiently.
  • Answering customer emails and phone inquiries, providing exceptional service and support.
  • Processing returns, exchanges, and cancellations efficiently, ensuring customer satisfaction and minimizing losses.
  • Handling out-of-stock notifications for orders, communicating with customers and suppliers to resolve issues.
  • Printing labels and reformatting addresses for shipping to ensure accurate and timely delivery.
  • Greeting visitors and ensuring NDA compliance, maintaining confidentiality and security.
  • Performing general clerical and support tasks to ensure the smooth operation of the distribution team.
  • Supervising and training customer service team members to develop their skills and knowledge.
  • Assigning tasks and balancing workloads daily to optimize productivity and efficiency.
  • Developing and optimizing customer service procedures to improve performance and customer satisfaction.
  • Resolving escalated issues beyond staff level, providing expert support and guidance.
  • Monitoring and improving departmental performance metrics to drive business growth and excellence.

Requirements

To succeed as a Customer Service Support Specialist at arenaflex, you'll need:

  • Demonstrated experience working within the consumer goods field, with a strong understanding of industry trends and best practices.
  • Expertise in Microsoft Excel, including the creation and use of complex formulas to analyze data and drive insights.
  • Proven ability to communicate effectively, both verbally and in writing, with customers, suppliers, and team members.
  • Exceptional attention to detail and organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Familiarity with the Shopify platform is highly desirable, but not required.
  • A dependable team member with strong analytical and problem-solving skills, able to think critically and creatively.
  • Minimum of a High School Diploma or equivalent; a College Degree is preferred, but not required.
