Job Summary

We are seeking an experienced and highly skilled Administrative Support Specialist to join our team on a part-time basis. As a key member of our administrative team, you will provide critical support to our Adult Detox and Crisis Recovery Unit, ensuring the efficient operation of our facility and providing exceptional service to our staff and clients. This is a remote opportunity, allowing you to work from the comfort of your own home while still being an integral part of our team.

Key Responsibilities

As an Administrative Support Specialist at arenaflex, your key responsibilities will include:

  • Data Management and Reporting: Utilize spreadsheets or databases to organize information and produce standard reports, ensuring accurate and timely data entry and reporting.
  • Financial Management: Prepare complex disbursement forms, reconcile ledgers, and gather data for budget preparation, ensuring compliance with financial regulations and policies.
  • Accounting and Payroll: Reconcile daily receipts or accounts receivable/payable, identify discrepancies, and make corrections, ensuring accurate and timely payment processing.
  • Procurement and Logistics: Verify requests for goods and services against County contracts and funding sources, order goods or services, and ensure delivery, ensuring compliance with procurement policies and procedures.
  • Communication and Customer Service: Compose routine correspondence on behalf of management, schedule appointments, maintain calendars, and provide exceptional customer service to staff and clients.
  • Training and Development: Train new employees, provide and explain relevant policies and procedures, and ensure compliance with organizational policies and procedures.
  • Payroll and Benefits Administration: Conduct tasks associated with payroll processing, including verifying timesheets, resolving discrepancies, and distributing paychecks, ensuring accurate and timely payment processing.

Essential Qualifications

To be successful in this role, you will need:

  • High School Diploma or Equivalent: A high school diploma or equivalent is required, with two years of administrative support experience.
  • Associate's Degree in Business Administration or Related Field: An Associate's Degree in Business Administration or a related field is preferred, but not required.
  • Experience: Experience can substitute for education, and education can substitute for experience.
  • Strong Communication and Interpersonal Skills: Excellent communication and interpersonal skills, with the ability to work effectively with staff, clients, and external stakeholders.
  • Technical Skills: Proficiency in multiple software applications, including Microsoft Office, Google Suite, and other relevant software.

Preferred Qualifications

While not required, the following qualifications are preferred:

  • Bachelor's Degree in Business Administration or Related Field: A Bachelor's Degree in Business Administration or a related field is preferred.
  • Certifications: Certifications in administrative support, accounting, or payroll processing are preferred.
  • Experience in Healthcare or Social Services: Experience in healthcare or social services is preferred, but not required.
