Experienced Customer Service Representative – Administrative Support & Office Operations

arenaflex is a leading provider of residential plumbing services, septic services, and portable sanitation solutions in the Tulsa and Grand Lake areas. With over 15 years of experience, we've built a reputation for reliability, efficiency, and customer satisfaction. Responsibilities

As a Customer Service Representative, you'll be responsible for a variety of administrative tasks and office support functions, including:

  • Organizing office operations and assisting associates in optimizing procedures
  • Sorting and distributing communications in a timely manner
  • Creating and updating records, ensuring accuracy and validity of information
  • Scheduling and planning meetings and appointments
  • Monitoring level of supplies and handling shortages
  • Resolving office-related malfunctions and responding to requests or issues
  • Coordinating with other departments to ensure compliance with established policies
  • Maintaining trusting relationships with suppliers, customers, and colleagues
  • Performing receptionist duties when needed

Preferred Skills

While we're open to training the right candidate, we're looking for individuals with the following skills and experience:

  • Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
  • Knowledge of computer systems, including Microsoft Office and QuickBooks
  • Working knowledge of office equipment, such as printers and copiers
  • Thorough understanding of office management procedures and protocols
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Analytical abilities and aptitude in problem-solving, with a focus on finding creative solutions to complex problems
  • Excellent written and verbal communication skills, with the ability to communicate effectively with colleagues, customers, and suppliers
  • Proficiency in MS Office, including Excel, Word, and Outlook
  • Knowledge of QuickBooks and Excel, with experience in data entry and record-keeping
