Job Summary

As a Customer Service and Data Entry professional at arenaflex, you will be responsible for providing administrative support to our team, ensuring responsive, accurate, and efficient assistance for daily operational requirements.

Key Responsibilities

  • Execute and uphold area drives through administrative support for the CIC initiative team, ensuring responsive, accurate, and efficient assistance for daily operational requirements
  • Utilize Agree following company policies for all activity and expenses and PCARD compromise
  • Process procurement transactions, PO creation, receipt submission, and payments using MYBUY S/4 Hanna platform and set up new vendors/merchants using MDG
  • Process PO invoicing and submission in SAP
  • Create, run, and distribute reports on an as-needed basis for the CIC team
  • Create and maintain organizational charts, distribution lists, and contact records
  • Research, maintain, and stock all department equipment for both in-office and WFH employees
  • Assist in supporting and coordinating operations for quarterly CIC municipal centers, CIC initiative meetings on and offsite, and various department events
  • Assist with new hire onboarding, ordering supplies, mailing and shipping, and receiving guests
  • Perform other work duties as assigned

Essential Qualifications

To be successful in this role, you will possess the following essential qualifications:

  • Working knowledge of SAP (Hana, Agree)
  • Proficient MS Office (Excel and PowerPoint skills)
  • MuyBuy experience
  • Handling of Procurement Orders, invoicing, PCard compromise
  • Onboarding training experience
  • Customer service or Logistics experience
  • Administrative experience (operations, calendaring, reporting, planning, team support, maintaining records, charts, and documents)
  • Ability to autonomously manage time and prioritize tasks
  • Excellent verbal and written communication skills
  • Ability to work with all levels within the organization
  • Must have availability and flexibility to work overtime when necessary

Preferred Qualifications

While not required, the following preferred qualifications will be considered an asset:

  • Previous experience in a similar role or industry
  • Advanced knowledge of SAP or other procurement systems
  • Experience with data analysis and reporting
  • Strong problem-solving and analytical skills
  • Ability to work in a fast-paced environment with multiple priorities and deadlines
