About the position The Systems Analyst position in Student Financial Services at Cal Poly, San Luis Obispo, is a critical role that operates under the general direction of the Director of Student Financial Services. This position is responsible for a wide range of technical system management functions that support the operations of Student Accounts and the University Cashiers Office. The analyst will independently perform assigned duties and projects, ensuring they are completed efficiently and effectively. The role involves active participation in the development, alteration, implementation, and evaluation of procedures and policies related to Student Financial Services. The responsibilities of this position encompass various financial activities, including but not limited to tuition charges, housing and dining charges, fee waivers, accounts receivables, and collection activities. The analyst may also engage in duties that span multiple programs or specialties within Student Financial Services. Given the intricate and interrelated nature of the processes involved, the staff must possess a significant depth and breadth of knowledge not only in their specific areas of expertise but also in the overall operations of the office. This cross-functional knowledge is essential for the accurate administration of payments and accounts, as well as for effective communication with students, parents, and staff regarding complex account activities. As part of the University Financial Services (UFS) Department, Student Financial Services plays a vital role in the financial operations of the university. The department is responsible for the charging, collection, receipt, and reporting of all student fees in accordance with state, CSU, and University policies. Additionally, it ensures the proper receipting and safeguarding of payments and deposits made to the University, administers payroll and student refund disbursements, and accounts for students' financial activities in compliance with federal, state, CSU, and University policies. The position is integral to the finance group and has a direct impact on the general ledger and financial statements, necessitating collaboration with other finance areas to gather accounting information, perform reconciliations, and resolve issues.

Responsibilities

  • Perform technical system management functions in support of Student Accounts and University Cashiers Office operations.

  • Independently complete assigned duties and projects related to Student Financial Services.

  • Participate in the development, alteration, implementation, and evaluation of procedures and policies.

  • Support financial activities including tuition charges, housing and dining charges, fee waivers, accounts receivables, and collection activities.

  • Engage in cross-functional duties that may span multiple programs or specialties within Student Financial Services.

  • Provide accurate administration of payments and accounts, ensuring compliance with relevant policies and procedures.

  • Communicate complex account activities effectively to students, parents, and staff.

Requirements

  • Equivalent to graduation from a four-year college or university.

,

  • Three years of technical or administrative experience in a related field.

,

  • Demonstrated experience in record keeping, including knowledge of accounting, budgeting, and reporting principles and practices.

,

  • Excellent computer skills and proficiency with various applications including online systems, word processing, spreadsheets, databases, and email.

,

  • Knowledge of operational and fiscal analysis and statistical techniques.

,

  • Skill in collecting, evaluating, and interpreting data to develop sound conclusions and make appropriate recommendations.

  • Experience in research, development, and evaluation of complex fiscal policies and programs.

Nice-to-haves

  • A graduate degree in a related field may substitute for one year of required experience.

  • Additional qualifying experience may substitute for the required education on a year-for-year basis.
