Executive Assistant We are looking for an outstanding professional, used to working in a busy but fun environment, organised and a team player. The ideal candidate will be looking for a challenging role in a dynamic, entrepreneurial and highly professional company and will have experience in dealing with tight deadlines; extensive diary management; being one step ahead of their MD’s requirements and understands the importance of building relationships with clients and their teams. In order to succeed in this role you must be versatile and have a very flexible and entrepreneurial approach. Ownership of all the tasks is a must-have. The role requires someone who is extremely personable, friendly and confident. You will be primarily responsible for organising and coordinating business meetings and managing schedules for our Managing Directors and providing ad hoc support to the wider team. This is a fantastic job for someone who is hands on and likes a busy, rewarding and challenging role, in a fun and friendly environment. You must have solid experience in admin support to senior executives, excellent communication and organisation skills, attention to detail and be used to working under pressure. The role requires someone who is proactive, innovative (solution orientated) and who is looking for a dynamic and varied role. Responsibilities include but not limited to • Scheduling and organising meetings • Maintaining and coordinating calendars • Coordinating various internal and external marketing events in fluid connection with the Firm event’s team • Using Salesforce.com to track and monitor marketing activities • Preparing time and expense reports • Coordinating travel plans, hotels, and car service • Managing the invoicing process • Setting up conference calls • Meeting and greeting clients and other visitors • Supporting with onboarding new team joiners • Managing confidential information, emails • Creating and amending decks in PowerPoint • Using Excel to maintain team documents • Assisting with client research • Provide shadow cover for other team EAs • Core hours are 9am to 6pm, Monday to Friday Essential requirements • Must have high level of interpersonal skills to handle sensitive and confidential information at maximum discretion • Must be able to interact and communicate with all levels of the organization • Experience working with senior clients • Ability to multi-task in a fast paced environment; constantly prioritise/ reassess tasks • Excellent oral and written communication skills • Must be proficient with a variety of computer software applications in word processing, spreadsheets, database and presentation software specifically, MSWord, Excel, PowerPoint, Outlook and various other internet applications • Must be organised and detail oriented • Ability to work independently and within a team • Ability to be pro-active and involved in executive business dealings Diversity & Inclusion A&M’s entrepreneurial culture celebrates independent thinkers and doers who can positively impact our clients and shape our industry.
