La Fiamma and Fiamma Burger are looking for an experienced office person to work in house for payroll administration, bookkeeping support, and help in our main office with organizing and regular cleaning. The ideal candidate has a knack for keeping on top of paperwork, attention to detail, and doesn't mind rolling up their sleeves for some purging and tidying up. Must be good with technology and adaptive to new software and processes. Must be good working with a variety of personalities and small dogs. Casual office environment that promotes diversity, independence, and respect for others. The office is a large open space with a big meeting table in the middle. The need for folks who are good at focusing on their work and being respectful of others is essential. Payroll Administration - We are looking for someone with great attention to detail to keep track of payroll for about 75 people in two companies. The job involves receiving time punches in csv form, reviewing for accuracy, reformatting to meet the criteria of the payroll software, uploading, making one-off edits, verifying accuracy of the upload/taxes/etc.. Then processing and downloading reports to create bookkeeping entries and custom excel spreadsheets. You will track time off, sick requests, L&I claims, advances, rate increases, insurance eligibility, etc… You will also meet with new hires and help them navigate the onboarding process to ensure all forms are complete and the employee is in our systems before their first shift. You will keep physical paperwork and upload digital copies to the payroll software document library. Assist managers in understanding payroll and stay on top of compliance with payroll taxes, minimum wage, etc.. The payroll software takes care of all payroll taxes but you will need to review and confirm rates are correct and distribute all W2’s at year end. You will also handle missed or lost payroll checks. Bookkeeping Support - The company uses industry specific accounting software that is cloud based with several auxiliary software platforms that integrate. Most bookkeeping, but not all, is handled by the outsourced accounting service and you will be the ‘boots on the ground’ point person for all bookkeeping matters. This includes but is not limited to… finding receipts/bills that didn’t get uploaded, providing support documentation at request, poking managers to turn in paperwork on time, and keeping in-house paperwork organized and easy to find. You will update various excel workbooks with data from daily cash receipts and server reports to track tips and expected deposits. This position will assist with subscription renewals, setting up bills on autopays, and misc bill payments as needed (with manager approval). You will screen the office emails and collect emailed notifications and requests related to bookkeeping. You will collect 1099’s from contractors and maintain files. You will create reports in excel based on management requests and support the accounting service in report generation. Office administration - Stay on top organizing paperwork and files (physical and digital), keep supplies tidy and stocked as needed, clean office weekly. Lifting is required, occasional use of steep (ladder style) staircase to access storage loft. You will spearhead quarterly/annual document purging and make arrangements for backfilling and document destruction following IRS guidelines for what to keep. Help keep a sense of order and accessibility in the office with periodic decluttering. PT 20-25 hrs/wk, flexible (but consistent) schedule, PTO, employee discount on meals. Apply Job!
