About the Role

Key Responsibilities

  • Client Communication and Relationship Management: Respond promptly and thoughtfully to client inquiries, requests, and concerns, ensuring every interaction reflects the warmth, professionalism, and attention to detail that define arenaflex. Build long-term relationships by understanding each client's unique preferences, travel style, and aspirations.
  • Personalized Itinerary Design: Work closely with clients to design and refine personalized travel itineraries that align with their goals, budgets, and dreams. From bucket-list adventures to relaxing retreats, you will craft journeys that feel custom-tailored rather than cookie-cutter.
  • Concierge-Level Service Delivery: Handle a wide range of concierge details, including flight changes, seat assignments, hotel preference notifications, welcome notes, and special arrangements such as spa bookings, guided tours, and dinner reservations. Anticipate needs before they arise and proactively introduce thoughtful touches that elevate each trip.
  • Payment and Financial Coordination: Manage client payments, send courteous payment reminders, and maintain accurate financial records for all bookings. Ensure transparency and accuracy throughout every transaction.
  • Travel Document Preparation: Prepare comprehensive client documents and travel tips, advising on what should be printed or stored digitally, and ensuring all materials are ready and delivered no later than three weeks before departure.
  • Internal Coordination and Information Flow: Assist with internal coordination efforts by distributing timely and accurate information across the team. Serve as a reliable hub of communication that keeps projects moving and clients informed.
  • Schedule and Time Management: Set, manage, and adjust schedules with precision, balancing competing priorities across multiple client accounts while honoring deadlines and commitments.
  • Client Profile and Booking Management: Maintain detailed client profiles, track preferences, and manage bookings with meticulous accuracy. Use these insights to continuously improve service quality and personalization.
