Remote Data Entry & Records Management Specialist – Detail-Oriented Administrative Support for Mission-Driven Operations at arenaflex (U.S. Based)

100% Remote Full-time Open now

About arenaflex and the Opportunity

arenaflex is a forward-thinking, mission-driven organization that partners with conservation districts, public agencies, and community-focused initiatives to preserve, manage, and protect the natural resources that sustain our communities. Our work sits at the intersection of environmental stewardship, public service, and modern data management. Every record we maintain, every report we generate, and every dataset we refine contributes to decisions that impact watersheds, wildlife habitats, and the well-being of future generations.

We are currently seeking a meticulous, self-motivated, and highly organized Remote Data Entry & Records Management Specialist to join our growing operations team. This position is fully remote and open exclusively to candidates residing in the United States. If you take pride in accuracy, thrive in a structured yet independent work environment, and want your day-to-day contributions to support meaningful environmental and administrative work, this role offers the perfect blend of stability, flexibility, and purpose.

As a valued member of our distributed team, you will play a foundational role in keeping our information systems clean, current, and reliable. The integrity of our data directly influences how effectively we serve the communities and ecosystems we work to protect. That is why we are looking for someone who treats accuracy as a craft, not just a checkbox.

Key Responsibilities

As the Remote Data Entry & Records Management Specialist at arenaflex, your work will support a wide range of operational, administrative, and analytical functions. Your primary responsibilities will include, but are not limited to, the following:

  • Accurate Data Input and Maintenance: Enter, update, and maintain data across multiple internal databases, spreadsheets, and records management systems with a high degree of accuracy and consistency.
  • Data Verification and Quality Control: Review, audit, and verify source documents and existing records to ensure completeness, correctness, and compliance with internal data standards.
  • Report Generation: Prepare, format, and generate routine and ad-hoc reports from internal systems to support operational decision-making, project tracking, and stakeholder communication.
  • Data Analysis Support: Assist team members and leadership with basic data analysis tasks, including identifying trends, flagging inconsistencies, and summarizing findings.
  • Confidentiality and Compliance: Handle sensitive, proprietary, and personal information with the highest level of discretion, adhering to all applicable privacy regulations and arenaflex confidentiality policies.
  • Records and File Management: Organize, archive, and maintain both physical and digital filing systems, ensuring records are easily retrievable, properly labeled, and securely stored.
  • Cross-Functional Collaboration: Support team members across departments with data-related tasks, special projects, and time-sensitive requests.
  • Process Improvement: Identify opportunities to streamline data entry workflows, reduce errors, and improve overall efficiency within the records management process.
  • System Updates and Troubleshooting: Assist in maintaining the integrity of data management platforms by performing routine system checks, flagging technical issues, and collaborating with IT or administrative leads as needed.

Essential Qualifications

To be considered for this role, candidates must meet the following baseline requirements:

  • Education: High school diploma or equivalent (GED) is required.
  • Experience: Demonstrated experience in a data entry, administrative support, records management, or similar role.
  • Typing Proficiency: Strong typing skills with a high degree of accuracy and the ability to sustain consistent performance over extended periods.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with data entry software, cloud-based platforms, or database systems.
  • Attention to Detail: Exceptional attention to detail with a methodical approach to reviewing and verifying information.
  • Organizational Skills: Strong organizational and time management abilities, with the capacity to handle multiple tasks and shifting priorities.
  • Communication Skills: Clear and professional written and verbal communication skills, with the ability to collaborate effectively with remote team members.
  • Independence and Accountability: Self-disciplined and comfortable working independently in a fully remote environment with minimal supervision.
  • U.S. Residency: Must reside within the United States and be authorized to work in the U.S.

Preferred Qualifications

While not required, the following qualifications will help candidates stand out:

  • Additional education, certification, or formal training in data entry, office administration, records management, or a related field.
  • Experience working with conservation organizations, government agencies, public districts, or mission-driven nonprofits.
  • Familiarity with document management systems, CRM platforms, or specialized data entry tools.
  • Experience handling sensitive or regulated data, such as personal identifiers, financial records, or environmental compliance documentation.
  • Working knowledge of basic data analysis, spreadsheet formulas, or reporting tools.
