Key Responsibilities

  • Manage Live Customer Interactions: Respond promptly and professionally to a high volume of customer inquiries through online chat platforms, addressing questions about vehicles, dealership services, financing options, promotions, trade-ins, and general automotive topics.
  • Provide Accurate and Helpful Information: Deliver precise, up-to-date details regarding product specifications, pricing structures, available inventory, service offerings, warranty information, and dealership policies to ensure customer satisfaction and trust.
  • Schedule Appointments and Book Services: Convert inquiries into scheduled dealership visits by understanding customer needs, identifying the right opportunities, and coordinating appointments with the appropriate sales or service representatives on behalf of our dealer clients.
  • Maintain a Current Knowledge Base: Continuously update your understanding of the automotive and recreational vehicle industry, including new models, technological features, financing programs, seasonal promotions, and competitor offerings to provide informed responses.
  • Capture Lead Information: Collect and document customer contact details, vehicle preferences, buying timelines, and other relevant data in our CRM systems to support effective lead generation and follow-up efforts.
  • Document Customer Interactions: Accurately summarize chat transcripts, customer feedback, recurring questions, and any escalated issues to provide actionable insights for our dealership clients and internal quality assurance teams.
  • Represent arenaflex and Our Dealer Partners Positively: Uphold the reputation of both arenaflex and the dealerships we serve by maintaining a professional, courteous, and helpful tone in every customer interaction.
  • Meet and Exceed Performance Targets: Consistently achieve key performance indicators (KPIs) related to chat response time, customer satisfaction scores, lead conversion rates, and appointment-setting metrics.

Essential Qualifications and Requirements

  • Educational Background: A High School Diploma, GED, or equivalent certification is required. Post-secondary education in business, communications, marketing, or a related field is considered an asset.
  • Communication Skills: Exceptional written communication skills with a strong command of English grammar, spelling, and punctuation. You must be able to convey complex information clearly, concisely, and professionally in a chat-based format.
  • Verbal Fluency: Fluent spoken English is essential for internal team communications, training sessions, and occasional client interactions.
  • Typing Proficiency: A minimum typing speed of 35 words per minute (WPM) is required, with higher speeds preferred. The ability to type quickly and accurately while maintaining a conversational tone is crucial.
  • Technical Competence: Basic proficiency with computers, internet navigation, web-based applications, and chat software is required. Experience with CRM platforms, live chat tools, or customer service ticketing systems is highly beneficial.
