The Data Entry Coordinator role at arenaflex represents far more than a typical typing or administrative position. It is a strategic opportunity for an organized, detail-oriented, and tech-savvy individual to become the operational backbone supporting maintenance teams, facility managers, and executive stakeholders. If you thrive in structured environments, enjoy transforming raw data into actionable insights, and want to build a rewarding career with a forward-thinking company, arenaflex invites you to explore this exciting opportunity.

Position Overview

arenaflex is seeking a highly motivated and dependable Remote Data Entry Coordinator (Typist) to join our expanding operations team. In this fully remote, work-from-home position, you will provide essential administrative and data management support to facility teams responsible for the organization, scheduling, and tracking of maintenance work orders across our client portfolio. This role requires close collaboration with maintenance staff, customer facility operations, and internal management to ensure seamless operational workflows, accurate reporting, and continuous service improvement.

The ideal candidate will be a self-starter with exceptional attention to detail, strong communication skills, and a passion for leveraging technology to enhance business processes. While prior experience in facility maintenance, building operations, or work order management is advantageous, arenaflex provides comprehensive training to ensure every team member has the tools and knowledge needed to excel.

Key Responsibilities

As a Data Entry Coordinator at arenaflex, your daily contributions will directly impact operational efficiency and service quality. Your core responsibilities will include:

  • Administrative and Scheduling Support: Input and maintain maintenance schedules within arenaflex’s proprietary software systems, ensuring all entries are accurate, timely, and aligned with operational priorities. Generate detailed reports for recurring meetings, leadership reviews, and stakeholder briefings.
  • Document Management and Compliance: Organize, maintain, and audit a wide variety of operational documents to ensure compliance with regulatory standards, internal policies, vendor qualification requirements, and project closure protocols. Your meticulous record-keeping will support audit readiness and operational transparency.
  • Work Order Auditing and Quality Assurance: Assist with auditing maintenance work orders and training records to verify accuracy, completeness, and accountability. Identify discrepancies, flag issues for review, and collaborate with team members to implement corrective actions.
  • Data Reporting and Insights: Oversee data reporting activities, transform raw operational data into meaningful insights, and relay key findings to management and stakeholders. Your reports will empower leadership to make informed, data-driven decisions that enhance service delivery and resource allocation.
  • Cross-Functional Collaboration: Work closely with Customer Facility Operations teams to quickly address issues, troubleshoot operational challenges, and ensure timely service delivery. Build strong working relationships that foster trust and accountability.
  • Stakeholder Communication: Maintain effective and professional communication with internal teams, external service providers, and client representatives. Ensure all parties remain informed of scheduling changes, work order updates, and project milestones.
  • Work Order Generation and Distribution: Schedule maintenance activities efficiently and generate the corresponding work orders, service requests, and progress reports needed to keep operations running smoothly.
  • Performance Metrics and KPI Reporting: Provide weekly and monthly metrics on work order utilization, completion rates, and operational efficiency to management. Use these reports to identify trends, opportunities for improvement, and areas where additional support may be required.
  • Equipment and Task Management: Enter new equipment profiles, asset records, and task lists into the Facility Maintenance Management System to ensure comprehensive tracking throughout the equipment lifecycle.
  • SharePoint Administration: Manage and organize data within arenaflex’s SharePoint environment, ensuring documents are properly categorized, easily accessible, and securely stored.

Essential Qualifications and Experience

To be considered for the Data Entry Coordinator position at arenaflex, candidates must meet the following baseline requirements:

  • Educational Background: A High School Diploma or equivalent is required. Completion of some college coursework in business administration, operations management, information technology, or a related field is strongly preferred.
  • Technical Proficiency: Demonstrated proficiency in the Microsoft Office Suite, including Word, Excel, Outlook, and Visio, is essential. Candidates should be comfortable creating spreadsheets, generating reports, managing email communications, and producing process documentation.
  • SharePoint Familiarity: While not required, familiarity with Microsoft SharePoint is considered a significant advantage. arenaflex provides comprehensive training to ensure all team members become confident SharePoint users.
  • Work Ethic and Availability: The ability to work independently with minimal supervision while remaining accessible and responsive during standard working hours is critical to success in this remote role.
  • Report Writing Skills: Experience in report writing, data visualization, or generating reports from software platforms is highly valued and will set you apart from other candidates.

  • At least one year of experience working in a critical environment, such as a data center, hospital, manufacturing facility, or other operationally sensitive setting.
  • Familiarity with building maintenance practices, HVAC systems, electrical infrastructure, or general facility operations.
  • Prior experience with computerized maintenance management systems (CMMS) or facility maintenance management software.
  • Exposure to vendor management, procurement processes, or contract administration.
  • Willingness to travel up to 10% of the time for training, team-building events, or occasional on-site engagements.
