This position works closely with the e‑Fulfilment and e‑Filing teams, collaborating on continuous‑improvement projects, troubleshooting discrepancies, and ensuring that every document meets the highest standards of accuracy and compliance.

Key Responsibilities

  • Review incoming legal documents—such as pleadings, motions, subpoenas, and contracts—through arenaflex’s internal portal and email system.
  • Accurately enter data into the e‑Fulfilment platform, ensuring that each filing is correctly categorized, tagged, and routed to the appropriate jurisdiction.
  • Perform quality‑control checks to verify that all required fields are completed and that documents adhere to formatting and filing guidelines.
  • Investigate and resolve any discrepancies or errors identified during the filing process, escalating complex issues to senior team members when necessary.
  • Participate in ongoing training sessions, webinars, and knowledge‑share meetings to stay current on industry regulations, platform updates, and best practices.
  • Collaborate with cross‑functional teams—including legal analysts, IT support, and client services—to streamline workflows and improve overall efficiency.
  • Assist in the development and documentation of standard operating procedures (SOPs) for data entry and document management.
  • Contribute to special projects, such as pilot testing of new automation tools, data migration initiatives, and process‑optimization studies.
  • Maintain a high level of confidentiality and data security in accordance with legal and corporate policies.

Essential Qualifications

  • High school diploma or GED required; additional education or certifications in business administration, legal studies, or related fields is a plus.
  • No prior professional experience required; however, demonstrated data‑entry experience or familiarity with legal documentation is advantageous.
  • Proficient typing speed of 50–60 words per minute with a high degree of accuracy.
  • Strong command of Microsoft Office Suite (Word, Excel, Outlook) and comfort navigating web‑based applications.
  • Exceptional attention to detail, with the ability to spot inconsistencies and errors quickly.
  • Excellent written and verbal communication skills, enabling clear interaction with team members and external partners.
  • Self‑motivated, reliable, and capable of performing repetitive tasks while maintaining focus and quality.
  • Demonstrated ability to work effectively in a remote environment, managing time and priorities independently.

Preferred Qualifications & Skills

  • Experience with legal document management systems (e.g., Clio, MyCase, or proprietary platforms).
  • Basic understanding of court filing procedures, jurisdictional rules, and legal terminology.
  • Familiarity with data‑validation tools, OCR software, or automated document processing solutions.
  • Prior experience in a remote or distributed team setting, showcasing strong virtual collaboration skills.
  • Problem‑solving mindset with a proactive approach to identifying process improvements.
  • Ability to adapt quickly to evolving technology and workflow changes.

Core Competencies for Success

  • Accuracy & Precision: Consistently deliver error‑free data entry and document filing.
  • Time Management: Prioritize tasks to meet daily and weekly filing targets without compromising quality.
  • Team Collaboration: Communicate openly with peers, supervisors, and support teams to achieve shared objectives.
