Position Overview – Medical Billing Specialist

The Medical Billing Specialist at arenaflex is a cornerstone of our revenue cycle management. You will be responsible for processing patient billing information, reconciling accounts, and collaborating with insurance providers to secure timely payments. This role blends meticulous data entry, strategic problem‑solving, and empathetic client interaction. You will work closely with physicians, insurance agents, and patients to navigate complex billing scenarios, ensuring compliance with Medicare, Medicaid, and private payer regulations.

Key Responsibilities

  • Revenue Generation & Payment Arrangement: Initiate and negotiate payment plans with patients, monitor adherence, and follow up on overdue balances to maximize cash flow.
  • Delinquent Account Management: Identify delinquent accounts, conduct outreach, and employ tactful communication to secure payments while preserving patient goodwill.
  • Collections & Legal Coordination: Evaluate the suitability of external collection agencies, prepare documentation for small claims courts, and, when required, provide testimony in legal proceedings.
  • Medicare Bad‑Debt Reporting: Compile and maintain accurate bad‑debt cost reports for Medicare, ensuring compliance with federal reporting standards.
  • Employee Care Billing: Process and reconcile outstanding balances for employee healthcare services, guaranteeing prompt resolution.
  • Data Entry & EMR Integration: Accurately input billing data into electronic medical record (EMR) systems, verify claim details, and correct discrepancies before submission.
  • Insurance Verification & Authorization: Review patient insurance policies, confirm coverage limits, and obtain necessary authorizations to prevent claim denials.
  • Collaboration & Communication: Serve as a liaison between patients, providers, and insurance representatives, delivering clear explanations of billing processes and addressing inquiries promptly.
  • Continuous Improvement: Participate in regular audits, suggest workflow enhancements, and stay abreast of evolving billing regulations and industry best practices.

Essential Qualifications

  • Minimum 2 years of proven experience as a Medical Biller or in a comparable revenue cycle role.
  • Demonstrated proficiency with billing software platforms (e.g., AdvancedMD, Kareo, Athenahealth) and electronic medical records (EMR) systems.
  • Strong understanding of medical coding (ICD‑10, CPT, HCPCS) and insurance claim adjudication processes.
  • Exceptional multitasking abilities with a track record of meeting tight deadlines while maintaining accuracy.
  • Excellent written and verbal communication skills, enabling you to convey complex billing information in a clear, compassionate manner.
  • Outstanding problem‑solving aptitude and organizational skills, essential for navigating intricate billing disputes.
  • Preferred: Bachelor’s degree in Business Administration, Health Care Management, Accounting, or a related discipline.

Preferred Additional Skills & Competencies

  • Certification such as Certified Professional Biller (CPB) or Certified Coding Specialist (CCS) is a strong advantage.
  • Experience with payer contracts, fee‑schedule negotiations, and reimbursement analysis.
  • Familiarity with HIPAA regulations and data privacy standards.
  • Proficiency in Microsoft Office Suite, especially Excel for financial reporting and data analysis.
  • Ability to train and mentor junior billing staff, fostering a collaborative learning environment.
  • Customer‑service orientation with a patient‑first mindset.

  • Certification Support: Financial assistance and study time for industry certifications such as CPB, CPC, or RHIA.
  • Career Pathways: Opportunities to advance into senior billing analyst, revenue cycle manager, or health information management roles.
