Job Overview & Responsibilities The Supervisor of Onboarding Operations provides operational leadership and direct supervision to the onboarding team and is responsible for overseeing the day-to-day execution, quality, and performance of onboarding operations across the organization. This role serves as the operational leader for onboarding workflows, ensuring new hires are onboarded efficiently, compliantly, and with a high level of customer service and operational excellence. This role is responsible for supervising onboarding coordinators, managing onboarding operations and escalations, balancing workload distribution, ensuring compliance with onboarding requirements, and maintaining strong operational partnerships with internal stakeholders and external hospital partners. The Supervisor partners closely with the Manager, Onboarding & HR Compliance to ensure alignment with departmental priorities, operational strategy, organizational objectives, and continuous improvement initiatives across the onboarding function. The Supervisor applies sound judgment, operational leadership, and critical-thinking skills to identify risks, remove barriers, improve workflows, and ensure onboarding processes remain efficient, compliant, and aligned with organizational goals while promoting a culture rich in positive employee satisfaction and engagement within the organization, maximizing the impact of people, our most valuable asset. Essential Functions Provide day-to-day operational leadership, supervision, coaching, and performance management for onboarding coordinators while fostering a collaborative, accountable, and service-focused team environment. Oversee onboarding operations across assigned regions and business lines to ensure timely, accurate, compliant, and high-quality onboarding execution aligned with departmental priorities and organizational objectives. Monitor onboarding workflows, candidate progression, onboarding timelines, and operational workload distribution to ensure readiness for scheduled start dates and appropriate team capacity management. Serve as the primary escalation point for onboarding-related operational issues, service concerns, workflow barriers, and complex onboarding scenarios requiring leadership support or intervention. Support onboarding execution directly as needed based on business demands, operational priorities, staffing needs, or complex onboarding situations. Partner with Talent Acquisition, HR, clinic leadership, hiring managers, hospital partners, and other operational stakeholders to ensure continuity, communication, and alignment throughout the onboarding process. Maintain and strengthen operational relationships with affiliated hospital systems and external partners to support employee clearances, onboarding requirements, badge access, and ongoing compliance coordination. Oversee onboarding compliance activities, including auditing onboarding documentation, monitoring onboarding requirements, and ensuring onboarding records, employee files, and related processes remain accurate, organized, compliant, and audit-ready. Monitor onboarding quality metrics, operational performance indicators, rejection trends, turnaround times, and service delivery outcomes to identify trends, risks, and opportunities for improvement. Analyze operational gaps and recurring issues and implement workflow enhancements, corrective actions, and process improvement initiatives focused on scalability, operational efficiency, compliance, and candidate experience. Develop, maintain, and optimize onboarding procedures, workflows, training materials, and standard operating procedures to support operational consistency and organizational growth. Participate in the interviewing, selection, onboarding, training, development, and performance management of onboarding staff. Support onboarding-related reporting, audits, data validation, and operational reporting activities as requested. Maintain a high level of professionalism, discretion, independent judgment, and customer service in all interactions. Consistently meet competency and knowledge requirements deemed necessary by PT Solutions Leadership. Participate and actively assist in meeting Human Resources team objectives. Strong customer service orientation with the ability to build positive working relationships with candidates, hiring managers, hospital partners, and internal stakeholders. Strong critical-thinking, decision-making, and problem-solving skills with the ability to identify operational inefficiencies, process gaps, workflow risks, trends, and inconsistencies and implement practical solutions and process improvements. Ability to analyze, validate, maintain, and interpret operational and onboarding data using spreadsheets, tracking tools, reporting systems, and other business applications to support operational accuracy, compliance, and informed decision-making. Working knowledge of federal and state employment regulations and onboarding-related compliance requirements, with the ability to apply established policies, procedures, and escalation protocols appropriately. Demonstrated ability to handle sensitive and confidential information with discretion, professionalism, and sound judgment. High level of accountability, ownership, initiative, and follow-through on assigned responsibilities and operational outcomes. Strong computer skills with advanced working knowledge of Microsoft Word, Excel, Outlook, and PowerPoint. Ability to work independently while effectively leading and supporting a team environment. Ability to adapt quickly to changing organizational priorities, operational demands, and business needs. Required Credentials Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or related field preferred. Minimum of 3–5 years of experience in onboarding operations, HR operations, healthcare operations, or related operational leadership roles preferred. Prior supervisory or team leadership experience preferred. Experience working with HRIS systems, onboarding platforms, reporting tools, and operational tracking systems preferred. Experience leading high-volume onboarding operations, process improvement initiatives, and cross-functional operational workflows preferred. Experience working in healthcare or other highly regulated environments preferred.
