Position Overview The Data Entry Specialist role is a critical entry point for the accurate processing of medical billing information. Located in our vibrant Newark, NJ office, you will be responsible for reviewing, scanning, indexing, and entering medical bills received from employers and other sources. This position also supports mail handling, provides backup phone coverage for the Customer Service Team, and offers administrative assistance to multiple departments within arenaflex. Key Responsibilities

  • Medical Bill Review & Preparation: Examine incoming medical bills for completeness, verify required documentation, and flag any discrepancies for further investigation.
  • Scanning & Indexing: Operate high‑speed scanners to digitize paper bills, assign appropriate index codes, and ensure each file is stored in the correct electronic repository.
  • Data Entry & System Updates: Accurately input bill details—including CPT and ICD‑10 codes—into arenaflex’s claims processing system within established timeframes and quality standards.
  • Research & Follow‑Up: Conduct targeted research to obtain missing information, liaise with providers or employers when necessary, and document all follow‑up actions.
  • File Maintenance & Purging: Perform monthly purges of closed and central medical bill files in accordance with arenaflex’s file‑destruction policy, ensuring compliance with regulatory requirements.
  • Mail Management: Prepare outgoing mail for daily release, track inbound correspondence, and maintain organized mail logs for audit purposes.
  • Customer Service Backup: Provide temporary phone coverage for the Customer Service Team during peak periods or staff absences, delivering courteous and accurate information to members and providers.
  • Cross‑Departmental Administrative Support: Assist other arenaflex departments with ad‑hoc tasks such as data compilation, report generation, and document preparation.
  • Continuous Improvement: Identify opportunities to streamline data entry workflows, suggest enhancements to scanning procedures, and contribute ideas to improve overall operational efficiency.
  • Compliance & Confidentiality: Adhere strictly to HIPAA, state privacy laws, and arenaflex’s internal security protocols when handling protected health information (PHI).

Essential Qualifications

  • High School Diploma or equivalent (GED) required.
  • Minimum of one (1) year of hands‑on data entry experience, preferably in a health‑care or insurance environment.
  • Demonstrated proficiency with Windows‑based computers, Microsoft Office Suite (Word, Excel), and internet/intranet navigation.
  • Strong typing speed (minimum 55 wpm) with high accuracy and attention to detail.
  • Basic understanding of medical coding concepts, including CPT and ICD‑10 terminology.
  • Ability to work independently, manage time effectively, and meet daily productivity targets with minimal supervision.
  • Excellent organizational skills and a proven track record of maintaining orderly electronic and physical filing systems.
  • Customer‑service orientation with a professional demeanor when interacting with internal teams, providers, and members.

Preferred Qualifications

  • Previous experience in claims administration, medical billing, or a related insurance function.
