Position Overview

This is an independent‑contractor role based in the Eastern Time Zone (ET). While you are free to set your own daily schedule, all deliverables are anchored to ET deadlines (e.g., a task due “Monday 3 PM” always refers to 3 PM ET). Tasks are typically assigned at least 48 hours in advance, and you will have the flexibility to negotiate due dates when necessary. The role starts with a capped workload of $200 per month (approximately 10 hours) with a clear pathway to increased hours as you demonstrate reliability and capacity.

Key Responsibilities

  • Email Management: Respond to 3–5 client emails per week within a 24‑hour window (excluding weekends). Use provided templates and guidelines, and consult directly with Fiona during business hours for clarification.
  • Content Editing & SEO Support: Review blog posts and newsletter drafts for grammar, tone, and millennial‑friendly slang. Apply SEO best practices by inserting keywords, meta descriptions, and internal links as instructed.
  • Video Operations: Download recorded sessions from Zoom or Loom, then upload and organize them in Google Drive, Vimeo, or other designated repositories. Ensure proper naming conventions and folder structures for easy retrieval.
  • Community Management: Support the launch of our membership platform (scheduled for mid‑September). Monitor forum activity, flag urgent inquiries, and ensure Fiona replies to posts within three business days.
  • Financial Coordination Support: Communicate with DeShaun on billing and payment queries, forwarding relevant information and maintaining accurate records.
  • Ad‑hoc Projects: Take on additional tasks as they arise, ranging from data entry to simple graphic updates, always adhering to the agreed‑upon scope and timeline.

Essential Qualifications

  • Proven experience as a virtual assistant, remote administrative support, or similar role.
  • Strong written communication skills with an ability to adopt a friendly, professional tone.
  • Familiarity with the following software platforms: ConvertKit, Squarespace, Google Drive, Vimeo, Zoom, Loom, Gmail. Prior exposure to Heartbeat or Circle is a plus, but not required.
  • Reliable high‑speed internet connection and a dedicated workspace.
  • Ability to work independently, meet deadlines, and manage multiple priorities without direct supervision.
  • Comfort with signing a contract, nondisclosure agreement, and non‑compete clause.

Preferred Qualifications

  • Experience in the Human Design, astrology, or personality‑assessment space.
  • Background in content marketing, SEO, or digital publishing.
  • Certification or degree in communications, marketing, or a related field (not mandatory).
  • Previous work with membership platforms or community‑building tools.

Tools & Technologies Provided

arenaflex will supply or pre‑pay for any software subscriptions you need to perform your duties, including ConvertKit, Squarespace, and any premium video‑hosting plans. You may use your preferred invoicing solution (Venmo, PayPal, or a dedicated invoicing app) to submit weekly timesheets and invoices.

Compensation & Benefits

  • Hourly rate: $20 USD per hour (independent contractor).
  • Initial monthly cap: $200 (≈10 hours) with the potential to increase as workload expands.
  • Weekly payment schedule: Payments processed at close of business each Friday.
  • Tax documentation: 1099‑MISC issued at year‑end; you are responsible for your own tax filings.

Work Schedule & Logistics

You will submit a weekly timesheet and invoice, and you may receive payment via Venmo, PayPal, or another invoicing platform of your choice.
