As a Data Entry and Customer Service Specialist at arenaflex, you will be a central point of contact between our clients, field technicians, and internal departments. Your core mission will involve maintaining the integrity of our data systems, providing responsive and friendly customer support, coordinating service dispatch, and ensuring that the right parts are ordered and ready when needed. This is a full-time, on-site role based in our Dallas office, scheduled Monday through Friday, offering a consistent workweek that supports work-life balance.

Key Responsibilities

  • Accurate Data Entry and Database Management: Input, update, and maintain a wide range of essential business data into company systems with a high degree of accuracy. This includes client records, service tickets, parts orders, technician schedules, and other operational data. You will be expected to verify information for completeness, flag inconsistencies, and ensure all records are current and properly categorized.
  • Customer Service and Client Support: Serve as the first point of contact for incoming client inquiries via phone, email, and in-person interactions. You will respond to questions about services, account details, scheduling, and general concerns in a professional, friendly, and solution-oriented manner.   • Dispatch Coordination and Scheduling: Schedule and manage service calls by assigning the right field technicians to jobs based on availability, skill set, location, and urgency.   • Parts Ordering and Inventory Coordination: Identify required parts for upcoming service calls and place orders with appropriate vendors. Track incoming shipments, confirm deliveries, and coordinate with technicians to ensure parts arrive on time and meet quality standards. Maintain awareness of inventory levels and flag shortages before they become operational issues.
  • Cross-Departmental Communication: Act as a liaison between clients, field staff, management, and vendors. Relay important information accurately and promptly, and proactively follow up on outstanding issues until they are resolved.
