Join arenaflex as a Remote Client Coordinator – Healthcare Data Entry Specialist

Are you a detail-oriented professional with a passion for accuracy, a knack for working with medical documentation, and the discipline to thrive in a fully remote, metrics-driven environment? arenaflex is seeking a dedicated Client Coordinator – Healthcare Data Entry Specialist to join our dynamic operations team on a 4–6 month contract basis. This is a 100% remote opportunity that allows you to work from the comfort of your home while making a tangible impact in the healthcare ecosystem.

The healthcare industry generates an extraordinary volume of critical documentation every single day. Independent Medical Reviews (IMRs), insurance claims, patient records, and clinical summaries all need to be processed with absolute precision. At arenaflex, we specialize in connecting skilled professionals with meaningful contract opportunities in healthcare data management. Our client partnerships span leading healthcare organizations, insurance providers, and medical review firms, giving our team members exposure to some of the most important work in the industry.

As a Client Coordinator with arenaflex, you will play a vital role in ensuring that medical documents are processed accurately, cases are returned promptly, and clients receive the high-quality coordination they depend on. If you are comfortable with Microsoft Excel and Microsoft Word, enjoy structured work environments, and have prior remote experience, this could be the ideal next step in your career.

What You’ll Do – Key Responsibilities

  • Process Medical Documents: Handle a variety of healthcare documents, with a primary focus on Independent Medical Reviews (IMRs), entering extracted data into electronic databases with precision and care.
  • Data Extraction & Entry: Carefully review incoming medical cases, identify relevant information, and input that data into structured systems using Microsoft Excel spreadsheets and Microsoft Word documents.
  • Client Communication: Reach out to clients over the phone to obtain missing or incomplete information, clarify documentation, and ensure all case requirements are fully met.
  • Critical Thinking & Case Management: Apply sound judgment to determine appropriate next steps for each case, escalating issues when necessary and documenting all actions taken.
  • Team Collaboration: Work independently while also partnering with fellow team members to address questions, share insights, and ensure timely case turnaround.
  • Meet Performance Metrics: Operate effectively within a quota-driven, metrics-based environment, consistently meeting daily and weekly productivity and quality benchmarks.
  • Customer Service Coordination: Provide professional, courteous service over the phone while handling case-related inquiries from clients and stakeholders.
  • Documentation & Compliance: Maintain thorough records of all interactions, data entries, and case progress in accordance with arenaflex standards and client expectations.

What We’re Looking For – Essential Qualifications

  • Educational Background: A High School Diploma or equivalent is required.
  • Remote Work Experience: A minimum of 1 year of prior remote work experience is required. You must be self-motivated, organized, and capable of managing your time effectively without direct supervision.
  • Reliable High-Speed Internet: A stable, high-speed internet connection is mandatory for this role. You will be expected to maintain consistent connectivity during working hours.
  • Personal Equipment: You must provide your own computer or laptop (Chromebooks are not permitted). Your equipment should be capable of running Microsoft Excel, Microsoft Word, and other required software smoothly.
  • Technical Proficiency: Strong comfort and capability using computers, spreadsheets, word processing software, and various web-based applications.
  • Schedule Availability: Must be available to work Monday through Friday, 8:00 AM – 5:30 PM Eastern Standard Time (EST).

Preferred Qualifications – What Will Set You Apart

  • Healthcare Industry Experience: Prior experience in healthcare, insurance, claims processing, or medical records is highly preferred and will be given strong consideration.
  • Metrics-Driven Environment Experience: Demonstrated success working in quota-based or metrics-driven settings, where productivity and accuracy are routinely measured.
  • Phone-Based Customer Service: Experience communicating with clients or customers over the phone in a professional, empathetic, and solution-oriented manner.
  • Independent Medical Review (IMR) Knowledge: Familiarity with IMRs or similar medical review processes is a significant plus.
  • Typing Speed & Accuracy: A fast and accurate typing speed is beneficial for the data entry components of the role.

Core Skills and Competencies for Success

To excel as a Client Coordinator with arenaflex, you will need to bring a well-rounded mix of technical, analytical, and interpersonal skills. The following competencies are central to success in this position:

  • Time Management: With a structured schedule and performance metrics, the ability to prioritize tasks and manage your time efficiently is critical.
  • Communication Skills: Clear, professional verbal and written communication will help you coordinate effectively with clients and teammates.
  • Adaptability: Each case is unique, and the ability to adjust to varying document types, client expectations, and workflow changes is essential.
  • Self-Discipline: Remote work requires a high degree of personal accountability and the ability to stay focused without in-person supervision.
  • Problem-Solving: You will routinely need to identify gaps in information, determine appropriate next steps, and proactively resolve issues.
  • Tech Savvy: Comfort with Microsoft Office Suite, especially Excel and Word, is fundamental. Familiarity with other productivity tools is a bonus.
