Why This Role Matters

As a Client Services Advisor within the arenaflex Learning & Experience division, you will be the primary liaison between our global partners and the internal teams that design, deliver, and continuously improve our on‑site and virtual programs. Your ability to build trust, manage complex projects, and ensure flawless execution will directly impact the success of high‑visibility events, training initiatives, and guest experiences that embody the arenaflex brand.

Key Responsibilities

  • Partner Relationship Management: Build and nurture positive relationships with external partners, vendors, and internal stakeholders while coordinating on‑site program support for learning and development initiatives.
  • On‑Site Event Coordination: Assist with logistics for in‑person training sessions, workshops, and special events at arenaflex locations, ensuring all details—from venue setup to material delivery—are meticulously managed.
  • Client & Internal Meeting Facilitation: Lead and document client and internal meetings, maintaining accurate records of discussions, action items, deadlines, and follow‑up communications.
  • Project Delivery Oversight: Collaborate with cross‑functional teams to guarantee the timely and cost‑effective delivery of high‑quality products and services to clients.
  • Risk Identification & Mitigation: Proactively spot potential challenges, develop contingency plans, and keep projects on track to meet agreed‑upon timelines.
  • Progress Monitoring & Reporting: Track project milestones, resource allocation, and status updates, providing regular reports to senior leadership and stakeholders.
  • Learning Program Support: Maintain the operational health of both in‑person and virtual learning initiatives, ensuring seamless execution across multiple platforms.
  • Cross‑Team Communication: Keep open lines of communication with internal partners and external vendors regarding project status, quality control, cost management, and deadlines.
  • Project Management Tools Utilization: Leverage arenaflex’s project management and procurement systems to manage work orders, oversee creation, shipment, and receipt of materials.
  • Data Accuracy & Consistency: Conduct thorough reviews of various computer systems to guarantee data integrity and alignment across all project documentation.
  • Independent Project Ownership: Take full responsibility for assigned projects, delivering regular updates and ensuring successful completion without constant supervision.

Essential Qualifications

  • Minimum 1 year of experience building positive relationships with employees, clients, vendors, and cross‑functional teams.
  • Demonstrated ability to manage multiple projects, tasks, and deadlines simultaneously while providing hands‑on support for on‑site initiatives.
  • Strong verbal and written communication skills, with a talent for presenting ideas clearly and persuasively.
  • Excellent organizational and critical‑thinking abilities, coupled with meticulous attention to detail.
  • Proven track record of handling confidential information with discretion and integrity.
  • Self‑starter who can initiate tasks independently, requires minimal direction, and consistently follows through to completion.
  • Proficiency in Microsoft Windows environments, including Outlook, Teams, Word, Excel, and PowerPoint.
  • Valid Class C driver’s license with a clean driving record (minimum five years of safe driving).
  • Flexibility to work a varied schedule, including evenings, weekends, and holidays, as project demands dictate.

Preferred Qualifications & Skills

  • Previous experience with arenaflex‑branded resorts, parks, or other immersive experiences.
  • Background in providing on‑site operational support for events and training programs.
  • Multilingual abilities—particularly fluency in Spanish or Portuguese—are highly valued.
  • Experience collaborating with senior leaders or executive teams.
  • Familiarity with project‑management platforms such as Smartsheet, Workfront, Siebel, DSCS, WebBEO, or similar tools.
  • Ability to thrive in fast‑paced, high‑volume environments while maintaining composure.
  • Comfort using virtual communication tools (e.g., Teams, Zoom, Webex) for remote collaboration.

Education Requirements

Associate’s degree or equivalent work experience is required. A bachelor’s degree in Business Administration, Communications, Project Management, or a related field is preferred.
