As a Chat Support Associate at arenaflex, you will be the frontline ambassador for our vibrant community of veterinary professionals. Your expertise in live‑chat, email, and phone communication will directly influence how efficiently veterinarians can order the supplies they need, ultimately supporting better animal care across all 50 states. This is more than a support role—it is a partnership with our users, engineering teams, and industry vendors to continuously improve the platform experience.

Key Responsibilities

  • Responsive User Assistance: Answer inbound inquiries via live chat, email, and phone, delivering accurate information and solutions within defined service‑level targets.
  • Troubleshooting & Issue Resolution: Diagnose technical or procedural problems quickly, explain resolutions in clear, jargon‑free language, and follow up to ensure satisfaction.
  • Proactive Account Management: Monitor user activity, flag potential concerns, and initiate outreach to prevent issues before they arise.
  • Administrative Support: Manage routine tasks such as item issue reports, credit approvals, item reviews, and documentation of recurring platform challenges.
  • Cross‑Functional Collaboration: Relay user feedback, feature requests, and enhancement ideas to engineering, product, and partner teams, acting as the voice of the customer.
  • Vendor & Partner Coordination: Work closely with supply‑chain partners to streamline communication, alerts, and data exchange between external systems and the arenaflex platform.
  • Process Improvement: Identify bottlenecks in support workflows, propose automation or procedural changes, and help implement best‑practice SOPs.
  • Knowledge Base Development: Contribute to internal and external knowledge resources, creating articles, FAQs, and tutorial videos that empower users to self‑serve.

Essential Qualifications

  • Minimum 1 year of experience in a customer‑facing role, preferably within a SaaS, eCommerce, or technology‑focused environment.
  • Completed Associate’s degree or a 4‑year college degree in a relevant field (business, communications, information systems, etc.).
  • Exceptional written and verbal communication skills, with the ability to convey complex concepts in an easily digestible manner.
  • Demonstrated patience, empathy, and professionalism when handling challenging or high‑stress situations.
  • Strong multitasking abilities; comfortable managing multiple conversations, tickets, and administrative duties simultaneously.

  • Hands‑on experience with Intercom or comparable live‑chat platforms (e.g., Zendesk, Freshdesk, LiveChat).
