Key Responsibilities

  • Lead Qualification & Scheduling: Use arenaflex’s CRM platform to engage prospective patients, assess their needs, and schedule in‑clinic or virtual consultations with the appropriate practice‑based professionals.
  • Real‑Time Multi‑Chat Management: Simultaneously handle multiple live chat sessions, ensuring each visitor receives a timely, courteous, and accurate response.
  • Adherence to Lead Journey Process: Follow the established lead journey framework, from initial greeting to final handoff, maintaining consistency and compliance with approved scripts.
  • Quantity & Quality Balance: Achieve a 100% response rate to incoming chats while fostering substantive, value‑adding conversations that address visitor concerns and build trust.
  • Collaboration with Leadership: Partner with sales and operations leaders to align chat performance with strategic sourcing and revenue targets.
  • Cross‑Location Support: Assist practice locations beyond your primary assignment, ensuring a unified experience across the arenaflex network.
  • Accurate Information Delivery: Provide prospective patients with correct pricing, service details, and any other approved information, always referencing the latest internal resources.
  • Administrative Support: Contribute to sales‑related administrative tasks, such as updating lead records, generating reports, and participating in ad‑hoc projects as needed.

Essential Qualifications

  • Availability to work the core shift of 5 PM – 1 AM ET (3 PM – 10 PM PT) or any overlapping time zone that aligns with arenaflex’s operational hours.
  • Commitment to attend a full‑day training session from 9 AM – 5 PM local time prior to starting the role.
  • Willingness to work at least one weekend day (Saturday or Sunday); availability on both days is a significant advantage.
  • Minimum of 1 year of sales experience, preferably in inside sales, remote sales, or a similar customer‑facing capacity.
  • Hands‑on experience with a CRM system—experience with Intercom or Salesforce is highly desirable.
  • Typing speed of 60 words per minute or faster, with a focus on accuracy.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Exceptional verbal and written communication skills, with the ability to convey complex information clearly and empathetically.
  • Demonstrated ability to meet or exceed defined targets and KPIs set by the Director of Sales Operations.
  • Strong organizational and multitasking abilities, capable of juggling multiple conversations without sacrificing quality.
  • Self‑motivation, adaptability, and a positive attitude that aligns with arenaflex’s collaborative culture.

Preferred Skills & Experience

  • Previous experience in a health‑service or tele‑health environment, understanding of medical terminology, and familiarity with patient privacy standards.
  • Track record of qualifying leads and converting them into booked appointments in a high‑volume setting.
  • Experience with live‑chat platforms beyond Intercom, such as LiveChat, Zendesk, or Freshdesk.
  • Ability to analyze chat metrics and provide actionable insights to improve conversion rates.
  • Fluency in a second language, enhancing the ability to serve a diverse patient base.
  • Comfort with remote work tools (Slack, Zoom, Asana) and a reliable home office setup.
