Key Responsibilities

  • Trade and Transfer Processing: Accurately enter exchange deal purchases, sales, and transfers into client profiles, adhering to established SOPs and compliance timelines.
  • Corporate Action Management: Process corporate action events (e.g., mergers, spin‑offs, dividend distributions) and reconcile related adjustments across multiple systems.
  • Reconciliation & Settlement: Perform daily reconciliation of trade settlements, dividend payments, and transfer fees, identifying and resolving discrepancies promptly.
  • Issue Investigation: Conduct root‑cause analysis on escalated or complex discrepancies between arenaflex, fund administrators, and transfer agents, documenting findings and corrective actions.
  • Regulatory Compliance: Support regulatory reporting obligations (e.g., Rule 2340, Rule 15c3‑3) by ensuring accurate data capture and timely submission of required documentation.
  • Technology Validation: Participate in testing and validation of new system enhancements, providing feedback on functionality, data integrity, and user experience.
  • Stakeholder Communication: Serve as a liaison between arenaflex’s Retail and Institutional Service Teams, fund providers, transfer agents, and external partners via email, phone, Slack, and Salesforce.
  • Process Improvement: Identify opportunities to streamline data entry workflows, propose automation solutions, and contribute to continuous‑improvement initiatives.
  • Client & Advisor Support: Respond to internal and external inquiries regarding fund eligibility, transaction status, and exception handling with professionalism and speed.

Essential Qualifications

  • High school diploma or equivalent; associate or bachelor’s degree in finance, business, or a related field is preferred.
  • Minimum 1‑2 years of experience in data entry, trade processing, or financial operations within a brokerage, clearing, or asset‑management environment.
  • Demonstrated ability to work independently in a remote setting while maintaining high accuracy and meeting strict deadlines.
  • Strong knowledge of securities terminology, trade lifecycle, dividend processing, and corporate actions.
