Philanthropy Coordinator, Peer-to-Peer Fundraising

The Philanthropy Coordinator (PC) manages a broad range of team and programmatic operational responsibilities related to the Jimmy Fund Walk for Dana-Farber, Dana-Farber Marathon Challenge, and Run Dana-Farber programs, while also providing essential administrative support to the Peer-to-Peer Fundraising team. Reporting to the Senior Director, Peer-to-Peer Fundraising, the PC is also responsible for stewarding a portfolio of participants across Walk and Run programs. This role requires excellent organizational skills and attention to detail, strong Microsoft Excel skills and a demonstrated ability to manage multiple tasks efficiently. The Philanthropy Coordinator is expected to collaborate closely with team members, Division colleagues, and external stakeholders as appropriate. Primary Duties and Responsibilities:

  • Operational and Administrative Support: Provides operational and administrative support including but not limited to calendar and mail management, coordinates the development and implementation of team and program functions; staffs meetings including preparing agendas, generating minutes, following up on action items and supporting related initiatives and projects. Prepares documents such as correspondence, reports, presentations, and packets.
  • Data Management: Develop mastery of Philanthropy’s organizational and management systems and databases. Maintain and update data as needed, ensuring accuracy and confidentiality of information. Generate team-wide or program reports as needed.
  • Financial Reporting: May include, but not limited to, P-card review and reconciliation, expense report processing, check processing, vendor payments, support of program or team budget development and revenue projection tracking.
  • Event Coordination: May oversee or assist with planning and execution of events or programs as assigned; responsibilities may include event administrative tasks, working with external vendors, drafting acknowledgement letters, and writing briefings for Institute leadership. May manage event-specific inboxes as assigned; triage inquiries and provide general problem resolution related to program with appropriate level of urgency. May provide backup participant management support when needed.
  • Team Collaboration: Support and execute a variety of projects and ad hoc administrative duties as needed and assigned. Assist in coordinating team and project tasks as needed and assigned. Liaise with internal and external constituencies at all levels on behalf of the team as appropriate.
  • Other duties assigned, which may include support for onboarding staff and Division initiatives.

Knowledge, Skills and Abilities:

  • Communication: Excellent written and verbal communication skills.
  • Customer Service: Exceptional customer service skills and the proven ability to interact professionally with peers, leadership, donors and external contacts.
  • Organizational: Demonstrated ability to be self-directed and work independently as well as part of a team. Strong ability to organize, prioritize, and follow-through on a variety of projects.
  • Diligence: Must possess the ability to problem solve with minimal guidance, maintain confidentiality, and pay attention to detail.
  • Data: Basic ability analyzing, interpreting and reporting on data with attention to detail and to inform programmatic decisions.
  • Judgement: Ability to apply independently a wide variety of policies/ procedures where specified guidelines may not exist.

Minimum Job Qualifications: HS or equivalent. 3 years of administrative experience required. Supervisory Responsibilities: None Patient Contact: Yes Special Working Conditions: This position is considered remote, 0-1 days onsite at 10 Brookline Place, Brookline, MA each week. Some travel, attending events as well as off-site meetings when needed. Requires light lifting for event set-up. Weekend and night work is required occasionally. Attendance at signature events required. Pay Transparency Statement The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications.
