As a Retail Team Assistant (m/f/d), you’re the central point of contact in the back office between our team, our retail partners, and the operational processes behind the scenes.You turn plans into structured processes, orders into organized inventory, and numbers into sound decision-making foundations. In doing so, you maintain the big picture, contribute ideas, and bring together everything needed to successfully implement our retail partnerships.Your focus is on brick-and-mortar retail—particularly in the perfumery and drugstore segments—and you ensure that our products are in the right place at the right time, both online and offline. Whether it’s order management, presentations, or data maintenance—you’re in control and make sure nothing falls through the cracks. You know how to organize, analyze, and get things up and running—without making a big fuss, but by independently coordinating retail processes that have a direct impact on our business success. We look forward to meeting you! ✨ Your main responsibilities: Order Management You maintain and monitor orders in the ERP system (NetSuite), keep track of deadlines and delivery statuses, and ensure everything runs smoothly. ️ Data, Lists & Processes You’ll keep our product master data up to date, generate inventory lists, maintain the stock ledger (online & offline), and check what’s available, where, and how. Preparing & Presenting Data You’ll create Google Sheets reports, competitive analyses, and presentations, and prepare everything our Retail Team needs to make informed decisions. Pre-complaint management You manage feedback from retailers, proactively seek solutions, and maintain regular communication with retail partners and internal teams. Meeting follow-up You prepare content and figures, document to-dos, and ensure consistent follow-ups after meetings. Store checks & market observation You help document our retail presence and organize insights in a structured manner. Technical responsibility You guide and support our working students in their day-to-day tasks. ✈️ Travel planning You coordinate the team’s travel arrangements—reliably, proactively, and stress-free. Administrative Support for Merchandise Activities You’ll assist with rollouts, coordinate orders for counters and displays, and handle returns. What You Bring to the Table: ️ Tools & Systems Proficiency with ERP systems (ideally JTL) as well as Google Drive and cloud-based solutions. Numeracy & Reporting You understand numbers, have solid Google Sheets skills, and possess a good grasp of reporting and KPIs in a retail context. Business acumen Experience in complaint management as well as with business processes and workflows. ️ Organization & Work Style You’re a natural organizer with a service-oriented mindset—structured, proactive, and solution-focused. Team Player with a Sense of Ownership You contribute ideas, take responsibility, and actively engage with the team. Language Skills Very good German skills and good English skills. ⭐ Nice to Have Experience with Markant, retail beauty, or POS displays—including in the grocery or drugstore sector—is a plus, but not a requirement.
