Grant Manager / Grant Compliance Manager Courtyard Media Foundation / GeekFest West – Game Expo Part-Time Contract Position Courtyard Media Foundation is seeking an experienced Grant Manager / Grant Compliance Manager to support the administration, tracking, and reporting of more than $100,000 in awarded grant funding connected to GeekFest West – Game Expo. GeekFest West – Game Expo is a multi-day community, gaming, fandom, and tourism-driving event taking place in Lynnwood, Washington. The selected contractor will help ensure that all awarded funds are properly documented, spent according to grant requirements, tracked against approved budgets, and reported accurately to funders.

Responsibilities

The Grant Manager will be responsible for:

  • Managing all awarded grant files, agreements, reporting requirements, and deadlines.
  • Creating and maintaining a master grant tracking system that includes award amounts, approved uses, reporting dates, reimbursement requirements, match requirements, and documentation needs.
  • Working with event leadership to ensure spending aligns with each grant’s approved scope and budget.
  • Tracking receipts, invoices, payments, contracts, vendor documentation, and proof-of-performance materials.
  • Preparing reimbursement packets and grant reports.
  • Coordinating with bookkeeping/accounting support to ensure grant expenses are coded correctly.
  • Monitoring deliverables such as marketing outcomes, attendance data, hotel-night reporting, economic impact support, sponsor deliverables, and other funder-required metrics.
  • Preparing internal status updates for leadership and board review.
  • Helping prevent compliance issues, missed deadlines, undocumented expenses, or spending outside approved categories.
  • Supporting grant closeout after the event.

Ideal Qualifications

  • Experience managing nonprofit, tourism, arts, cultural, event, government, or community grant funding.
  • Strong knowledge of grant compliance, reporting, restricted funds, reimbursement documentation, and budget tracking.
  • Highly organized and detail-oriented.
  • Comfortable working with spreadsheets, shared folders, receipts, invoices, and reporting forms.
  • Able to communicate clearly with nonprofit leadership, funders, vendors, and bookkeeping support.
  • Experience with Washington State, city, county, tourism, Lodging Tax, TPA, arts, or nonprofit grants is strongly preferred.
  • Event, convention, festival, tourism, or economic development experience is a plus.

Compensation

This is a part-time contract position. Compensation is expected to be in the range of $45–$65 per hour, depending on experience. Estimated workload is 5–10 hours per week, with additional hours around grant deadlines, reimbursement submissions, and final reporting. Contract Term The initial contract is expected to run from onboarding through final grant reporting and closeout for GeekFest West – Game Expo.
