Remote Medical Personal Assistant (Part-Time | Telehealth Practice)

Job Overview Elevate Wellness is a growing telehealth-based naturopathic medical practice focused on providing personalized, high-quality care to patients across the United States. We are seeking a dependable and detail-oriented Personal Assistant to support patient coordination, communication, and administrative workflows. This is a remote, part-time role ideal for someone with prior experience in medical administration or telehealth support. The ideal candidate is organized, responsive, and comfortable managing patient communication, scheduling, and electronic medical records. You must be available during daytime hours (Pacific Time preferred), though your exact schedule can be flexible. Duties 1. New Patient Onboarding

  • Explain visit costs, lab fees, appointment duration, and cancellation policies
  • Collect patient information (contact details, DOB, payment information)
  • Send new patient paperwork and assist with portal setup
  • Ensure all paperwork is completed at least 24 hours before appointments

2. Patient Follow-Up & Coordination

  • Manage patient billing and send receipts as requested
  • Reschedule appointments as needed
  • Monitor incoming lab results
  • Upload lab reports into the EHR system
  • Contact labs regarding missing or delayed results
  • Ensure labs are received 24 hours prior to appointments or coordinate rescheduling
  • Proactively review schedule:
  • 1 day ahead: identify urgent issues (labs, scheduling conflicts)
  • 1 week ahead: ensure all upcoming visits are properly prepared

3. Patient Communication

  • Answer and route phone calls from current and prospective patients
  • Respond to general inquiries
  • Forward important messages to the physician via the patient portal

4. Communication with Physician

  • Coordinate all non-urgent communication through the clinic portal
  • Maintain clear, concise, and organized updates
  • Submit week-end summaries of work performed during the prior week

Qualifications

Required:

  • Prior experience in a medical office, telehealth practice, or similar administrative role
  • Strong organizational and communication skills
  • Reliable internet, phone access, and computer during daytime hours
  • High attention to detail and ability to manage multiple tasks
  • HIPAA training

Preferred:

  • Experience with Charm EHR
  • Familiarity with Gmail and Mailchimp
  • Experience handling patient onboarding and medical records
  • Located in or familiar with Pacific Time Zone workflows

Pay: $30.00 - $35.00 per hour Benefits:
