Key Responsibilities

As a Dispatcher and Customer Service Representative, you'll be responsible for the following key tasks: ### Dispatching

  • Schedule and dispatch service technicians, drivers, or field staff based on customer needs and availability, ensuring efficient use of resources and optimal response times.
  • Monitor field staff locations and job statuses in real-time to optimize route efficiency and response times, making adjustments as needed due to cancellations, delays, or emergencies.
  • Communicate job details, instructions, and updates to field personnel in real-time, ensuring seamless execution of service calls.
  • Adjust schedules as necessary to accommodate changing customer needs and priorities.

### Customer Service

  • Answer incoming calls and emails from customers regarding service requests, inquiries, or issues, providing accurate information about services, scheduling, and follow-up procedures.
  • Handle customer complaints or concerns with professionalism and deescalate as necessary, ensuring customer satisfaction and loyalty.
  • Maintain accurate customer records in CRM or dispatch software systems, ensuring data integrity and compliance with industry standards.
  • Provide exceptional customer support, resolving issues and addressing concerns in a timely and effective manner.

### Administrative Support

  • Input and update job tickets, customer data, and service records in a timely and accurate manner, ensuring seamless data management and reporting.
  • Generate and send confirmations, invoices, or service reports as needed, maintaining a high level of attention to detail and professionalism.
  • Collaborate with other departments (e.g., sales, billing, operations) to ensure seamless service delivery, fostering a culture of teamwork and communication.

Qualifications

To succeed in this role, you'll need: ### Essential Qualifications

  • High school diploma or equivalent required
  • 1+ years of experience in dispatching, customer service, or administrative support (industry experience a plus)
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Excellent verbal and written communication skills, with the ability to communicate effectively with customers, field staff, and internal stakeholders
  • Ability to remain calm and effective under pressure, with a strong problem-solving and decision-making approach
  • Strong analytical and critical thinking skills, with the ability to analyze data and make informed decisions

### Preferred Qualifications

  • Bilingual (English/Spanish) or proficiency in other languages
  • Experience with CRM or dispatch software systems
  • Knowledge of industry standards and regulations
  • Certification in customer service or dispatching (e.g., CCRP, CDS)

Compensation and Benefits

arenaflex offers a competitive compensation package, including:

  • Hourly rate: $14.00 - $17.00 per hour
  • Full-time hours: 40 hours per week
  • Work location: In-person
