Job description: Independently perform a full range of secretarial functions to support immediate supervisor
- Assist in the implementation of Norwalk Board of Education administrative policies, rules, regulations and directives
- Follow Norwalk school policy to ensure student safety
- Promote a positive office atmosphere to welcome and assist visitors
- Main office reception
- Respond to questions and requests promptly and appropriately
- Answer telephone calls and respond to inquiries in a timely manner
- Bulletin boards
- Assign and label mailboxes
- Dismissal of students (bus announcements/bus logs)
- Assist with whole school, department and/or District mailings
- Operate and maintain office equipment
- Scan correspondence and related materials
- Review, route, and prioritize mail
- Facilitate student early dismissal and sign out process
- Record student absences and tardiness, and produce daily attendance report
- Maintain bus assignment log and issue student passes
- Maintain manual files, documents and records
- Organize and maintain office files
- Facilitate school activity requests including, but not limited to the following: process field trip request forms, process school dance requests, count money collected from students for activities, prepare bank deposit, deposit funds, and ensure all paperwork is submitted for services associated with the activity, (e.g., transportation for the field trip)
- Access PowerSchool to look-up students
- Assist with Parent Teacher Organization (PTO) and District mailings
- Prepare student obligation letters
- Prepare invitation to staff for Planning and Placement Team (PPT) meetings and place on digital calendar
- Collect and copy teacher reports seven (7) days prior to Planning and Placement Team meetings
- Maintain an inventory of supplies and equipment and distribute supplies to appropriate staff
- Maintain respect at all times for confidential information
- Ability to communicate ideas and directives clearly and effectively, both orally and in writing
- Ability to listen attentively
- Ability to perform assigned tasks effectively
- Considerable knowledge of office systems and procedures
- Basic knowledge of business math
- Ability to take notes
- Ability to operate office suite software and student information system software
- Ability to schedule and prioritize workflow
- Organizational and problem-solving skills
- Interact in a positive manner with all staff, students, parents and visitors
- Promote good public relations by personal appearance, attitude and conversation
- Maintain a level of approachability by administration, staff, parents and visitors
- Perform other related duties as assigned by immediate supervisor
- High school diploma or equivalency
- Two years (2) of experience above the clerk level in office support or secretarial work
- College training pf 15 semester hours equaling .5 year of experience in the secretarial sciences may be substituted for two years of experience above clerk level
- May require fluency in Spanish
- Such alternatives to the above qualifications as the Superintendent or designee find appropriate
