International Student and Scholar Services (ISSS)
The International Students and Scholars Services (ISSS) serves Stevens' international students, faculty, research scholars, and staff, and provides pre and post-admission services to incoming international students. ISSS administers an increasingly complex array of government regulations; supports the US Department of Homeland Security's SEVIS system (Student and Exchange Visitor Information System) and manages the collection and entry of data and information in SEVIS to track the Stevens international student and scholar population in non-immigrant status. ISSS manages the Department of State's Exchange Visitor Program and its regulatory requirements. The ISSS is Stevens' primary resource for issues related to immigration compliance for international students, faculty, research scholar and staff as it relates to specific admissions, academic, enrollment, employment, and travel matters. ISSS designs, plans, and implements international student/scholar orientation programs and a variety of workshops to ensure immigration compliance and contributes to international students' cultural adjustment and academic success.
Essential Duties & Responsibilities:
Compliance Related Duties
- Serve as the Designated School Official (DSO) and Alternate Responsible Officer (ARO) for regulatory compliance affecting non-immigrant students.
- Coordinates/functions as liaison with department of contacts, students and government agencies with F-1 visa category and related matters.
- Evaluate eligibility and assist in processing international travel endorsements and social security letters for F-1 and J-1 non-immigrant students.
- In collaboration with Data Manager, oversee personal information updates and the maintenance of student records in SEVIS database, Workday, and ISSS-internal database, including paper and electronic files.
- Work with the Assistant/Associate Directors to prepare J-1 Exchange Visitor Program Annual Report for the U.S. Department of State.
- Work with Assistant/Associate Directors to issue initial Form I-20s during the peak season.
- In collaboration with the Assistant/Associate Directors, assist in planning and coordinating immigration-related events; in developing specialized workshops and presentations for university staff/faculty and students on regulatory matters related to international students and scholars.
- Work with the Director to ensure the process of Notice of Filing for H-1B and PERM application meets the U.S. Department of Labor?s requirements.
- Review of the H-1B Public Access Files to make the required documents available for public inspection
- Manage H-1B Public Access Files to ensure all records including Labor Condition Application are maintained per federal regulations.
- Maintain and Update H-1B/TN/LPR records in ISSS database.
- Assist with the immigration check-in and orientation process for new international students
- Primary point of contact with the general public: Greet visitors, and resolve issues in a courteous and timely manner, answer incoming calls/ISSS emails, collect, track and assign student and scholar applications for various immigration-related benefits and ancillary matters, maintain office records, and visitor log
- Manage the reception area and provide general administrative support to the Director and to other staff members as needed
- Create and publish informational materials and ISSS announcements
- Create office requisitions and disbursement vouchers; maintain office inventory; oversee office equipment maintenance schedule; order office supplies
- Hire and train graduate and undergraduate student workers, manage their schedules, and assign tasks as needed
- Manage calendars, and coordinate conference calls and meetings
- Manage office mailing
- Assist to the Director and provide back-up support to team of ISSS as needed
- Stay abreast of research, best practices, trends in intercultural communication facilitation and related fields. Work with other ISSS team and university staff members to assess needs
- Perform other job-related duties as assigned
- A Bachelor's degree and one (3) year administrative and job-related experience required
- Candidate must possess strong organizational and excellent communication (oral and written) skills, have the ability to multitask, be detail-oriented, and possess a strong work ethic
- Must have the capacity to perform computerized tasks which may include any combination of word processing, spreadsheet, database, email, internet or web-based applications.
- Must be able to create and innovate to improve and streamline office procedures
- Candidate should have experience working with an international population with varying levels of English language proficiency and have the ability to use intercultural skills to provide service in a student-centric academic environment.
- Must be a US citizen or permanent resident to satisfy Dept. of Homeland Security and Department of State requirements and undergo a criminal background check to assume the role of Designated School Official (DSO) and Alternate Responsible Officer (ARO), which is an essential component of the position. Stevens reserves the right to make employment contingent upon successful completion of the background check.
- Experience working with international students in a compliance-focused setting is a plus.
- Excellent knowledge and technical skills using case management application systems such as ISSM Terra Dotta and SEVIS desired.
