Job description: The Office of Academic Support helps undergraduates thrive in a competitive academic environment through a variety of programs that focus on building skillsets around academic success. The Office of Academic Support offers small group and one-on-one peer to peer services through the PILOT Learning Program (PLTL), The Learning Den Tutoring Program, and The Study Consulting Program. The Office of Academic Support also supports Arrive and Thrive: Introduction to Hopkins, which is a large freshman seminar course that integrates learning strategies, technologies, and personal support to enable students' successful transition to college-level study.
We are seeking an Academic Support Administrative Assistant who will have a dual reporting structure and will report to the Assistant Director of Academic Support for the Learning Den Tutoring Program and the Assistant Director of Academic Support for the Study Consulting Program. The Administrative Coordinator is responsible for overall administrative support of the Learning Den, Study Consulting, and Arrive & Thrive academic support programs.
Specific Duties & Responsibilities
- Assist with the coordination of daily tasks to support peer led academic support programming.
- Provide calendar management support for the Assistant Directors.
- Assist with the recruiting, hiring and training of tutors and study consultants, Arrive & Thrive instructors and peer leaders.
- Support organization of the student staff recruitment and interview process including setting up and facilitating interviews for new tutors, consultants, and leaders.
- Manage student payroll transactions, including salary changes, hiring and termination of student staff.
- Utilize TimeSheetX to review student staff timecards and execute payroll for 200-250 student staff twice per month.
- Assist with back-end and administration support of academic support platform Panji.
- Assist with the coordination of finals study space programming.
- Assist with event set-up, vendor relations and overall planning for program training and events.
- Organize schedule of room locations on campus for tutoring and mentoring sessions.
- Review tutor and consultant logs, time logs, and student attendance documents.
- Create and maintain file organization in One Drive for both programs.
- Maintain website updates and manage social media accounts for marketing purposes.
- Schedule and organize student advisory board meetings.
- Assist with mid-semester, end of semester, and academic year end data collection and reports.
- Assist with request for students to join academic support programs via tutor requests, study consultant intake process, program registration and student triage process.
- Performing other duties as assigned.
- Exceptional oral, written and interpersonal communication skills.
- Demonstrated organizational skills with proven ability or prioritize workload.
- Ability to work collaboratively as part of a team.
- Ability to interact in a professional manner with faculty, students, staff and the public. Ability to multitask and work independently is essential.
- Excellent computer literacy, word processing and spreadsheet skills.
- Experience in administrative support in an office setting, including maintaining multiple calendars, maintaining a filing system, and working with confidential materials.
- Ability to remain calm and respond quickly to changing needs and to balance competing responsibilities.
- Strong attention to detail and accuracy.
- Ability to work independently.
- Highly organized and the ability to work under pressure.
- Knowledge of SAP and TimeSheetX.
- Knowledge of JHU administrative policies and procedures.
- High School diploma or GED required.
- Three years related experience required.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
- Some post-secondary education, associate Degree, or bachelor's Degree desired.
- Some college work preferred to assure work competence and familiarity with an academic environment; or an equivalent combination of education, training and experience which provides the requisite knowledge, skills, and abilities for this job.
