Experienced Overnight Customer Service Representative – Facilities Management Support

Job Overview:

We are seeking an experienced and customer-focused Overnight Customer Service Representative to join our facilities management team at arenaflex. As a key member of our team, you will be responsible for handling incoming client calls and emails related to facilities management, utilizing our facilities case management tool to assess and resolve requests efficiently. Your primary goal will be to ensure an optimal customer experience with every interaction, providing exceptional service and support to our clients.

Schedule:

This is a part-time, overnight position, working Friday, Saturday, and Sunday from 10:30pm to 7:00am ET. We understand the importance of work-life balance and offer a competitive hourly rate of $17 per hour.

Key Responsibilities:

* Respond to routine inquiries via inbound phone calls, providing timely and accurate information to clients

  • Assess the nature of each call and determine the most appropriate party to handle the request, ensuring efficient resolution
  • Process incoming facilities work order requests through telephone and email, including office moves, plumbing problems, light bulb changes, and other related tasks
  • Ask probing questions to understand and troubleshoot the root cause of the problem or request, determining the right party to service the work order
  • Dispatch work orders through telephone or email to the appropriate contact, setting clear expectations for turn-around time
  • Ensure all reports are accurate and filed in a timely manner, maintaining high standards of efficiency and accuracy
  • Prioritize and organize work to meet service level goals, identifying trends and communicating with the Team Coordinator and Program Lead
  • Follow approved policies and procedures, resolving shift concerns and tasks with the Team Coordinator/Program Lead and co-workers
  • Achieve an average of 45 requests per day, supporting team achievement of service level goals
  • Adhere to scheduled shifts, maintaining guidelines for arrivals/departures and absences
  • Support phone volume in the range of 70-100 phone interactions per shift, maintaining high standards of efficiency and accuracy

Requirements:

* High school diploma required; call center experience preferred (inbound)

  • Extensive use of computer with experience using Microsoft Office products and inputting substantial amounts of data
  • Switchboard or Helpdesk experience a plus
  • Excellent listening skills and telephone skills, with the ability to manage multiple tasks simultaneously
  • Excellent professional communication and interfacing with customers and co-workers
  • Ability to work in a fast-paced environment, maintaining a high level of productivity and accuracy
