Key Responsibilities

As an Administrative Assistant - Customer Service professional at arenaflex, you'll be responsible for:

  • Supporting daily operations: Providing administrative support to our team members, ensuring the efficient operation of our office, and maintaining a high level of organization and productivity.
  • Fielding inbound communications: Answering phone calls, responding to general email inquiries, and routing communications to the appropriate internal parties as needed.
  • Coordinating scheduling: Setting up meetings based on cross-functional availability for both internal and external stakeholders, ensuring seamless communication and collaboration.
  • Organizing internal resources: Building and maintaining processes to keep files and office supplies organized and easily accessible, ensuring a clutter-free and efficient workspace.
  • Liaising with visitors: Acting as the point person for office guests, providing exceptional customer service, and ensuring a warm and welcoming experience for all visitors.
  • Communicating policies and procedures: Alerting employees of new processes, rules, and regulations, ensuring a smooth transition and minimizing disruptions.
  • Facilitating executive-level operations: Booking travel, submitting expense reports, and sending communications for high-level staff as needed, ensuring seamless support for our executive team.

Requirements

To be successful in this role, you'll need:

  • High school diploma: A high school diploma or equivalent is required.
  • Administrative experience: 1-2 years of experience as an administrative assistant, secretary, or receptionist is preferred.
  • Strong organizational, communication, and time-management skills: Proven ability to prioritize tasks, manage multiple projects, and communicate effectively with stakeholders.
  • Positive, high-energy attitude: A positive and enthusiastic attitude, with a passion for delivering exceptional customer service.
  • Resourcefulness, creativity, and problem-solving skills: Ability to think critically, solve problems, and find creative solutions to complex challenges.
  • Familiarity with office equipment: Familiarity with office equipment, including printers, fax machines, and projectors.
  • Proficiency in Microsoft Office: Proficiency in Microsoft Office, especially MS Excel and PowerPoint.
