CRM Consultant Needed: Gravity Forms + CSV Imports → Zoho Bigin & Zoho Campaigns

Job Description

We’re looking for an experienced CRM & marketing automation consultant to help us design and implement the foundational data structure for how we manage, segment, and engage healthcare providers and patients. This role combines two related projects that must be designed together, as they ultimately feed into the same CRM and marketing system. Our goal is to hire one contractor who can think holistically and, if it’s a good fit, continue on as our ongoing CRM consultant. ________________________________________ Systems Involved •WordPress

  • Gravity Forms
  • Zoho Bigin (CRM)
  • Zoho Campaigns Project 1: Website Quiz / Intake Form → Zoho Bigin Overview We have a multi-step Gravity Forms quiz/intake form on our WordPress site. One section (“About You”) asks users to identify themselves, for example:
  • Patient
  • Physician / healthcare provider
  • Other categories The form is built and plugins are installed, but automation has not been activated yet because we want the CRM logic designed correctly first. What We Need
  • An initial Zoom walkthrough where we show: o The Gravity Forms setup o Our Zoho Bigin environment
  • Help designing and implementing: o Conditional logic in Gravity Forms o Proper field mapping into Zoho Bigin
  • Guidance on how to: o Import patients and physicians differently o Categorize them using appropriate fields, tags, or lifecycle stages o Ensure the structure supports different follow-up paths Goal Patients and physicians should:
  • Enter Zoho Bigin in distinct, intentional ways
  • Be clearly identifiable and segmentable
  • Integrate with Zoho Campaigns
  • Be ready for different welcome emails and different drip campaigns in Zoho Campaigns ________________________________________ Project 2: CSV Import of Physician Lists → Zoho Bigin & Zoho Campaigns Overview Separately, we maintain physician lists that will be imported via CSV (e.g., for A/B testing and outreach). These contacts do not originate from the website. This is for a molecular biosciences company offering an autoimmune diagnostic test to healthcare providers. What We Need
  • Guidance on: o How to import physician CSVs into Zoho Bigin properly o How to structure categorization so these providers can be marketed to differently
  • Help defining: o Tags vs custom fields vs lifecycle stages o Meaningful segmentation (e.g.):  Providers who have ordered one test  Providers who have ordered three or more tests  Providers who have never ordered
  • Ensure these contacts: o Flow cleanly into Zoho Campaigns o Can receive different drip campaigns based on their category or behavior There is no initial welcome email for this workflow — the focus is on segmentation, campaign readiness, and future marketing flexibility. ________________________________________ Key Requirements Across Both Projects
  • One coherent CRM structure that supports: o Multiple intake sources (forms + CSV imports) o Multiple audiences (patients vs physicians) o Future expansion and re-segmentation
  • Clear logic for: o Categorization o Lifecycle tracking o Campaign targeting We are explicitly looking for strategic guidance, not just technical execution. ________________________________________ Deliverables
  • Gravity Forms conditional logic configured and tested
  • Clean, intentional Zoho Bigin structure (fields, tags, stages, or pipelines)
  • CSV import strategy and implementation
  • Zoho Campaigns integration that supports segmented drip campaigns
  • Clear documentation explaining: o How contacts are categorized o Why the structure was chosen o How to extend it later ________________________________________ What We Are Not Looking For
  • Email design or copywriting
  • HTML templates
  • Landing pages
  • Rebuilding systems unnecessarily This is a CRM architecture and implementation role. ________________________________________ Ideal Candidate
  • Strong experience with: o Zoho Bigin o Zoho Campaigns o Gravity Forms (conditional logic) o CRM segmentation and lifecycle design
  • Comfortable acting as a CRM advisor, not just a technician
  • Able to explain tradeoffs and recommendations clearly
