Job Overview

The Customer Service Representative role at arenaflex is designed to deliver consultative customer service that consistently meets or exceeds the company's standards of excellence and customer expectations. As a key member of the Virtual Apron Support Team, you will be responsible for creating an effortless customer experience for external and internal customers through phone interactions. Your primary focus will be on providing product inquiries, appointment scheduling and verification, support to store and field partners and customers, as well as customer conflict resolution and escalation. You will take ownership of customer issues and provide complete end-to-end issue resolution by utilizing resources available to you.

Key Responsibilities

  • Communication (5%): Respond to email, chat, and email inquiries in a timely and professional manner, ensuring that all customer interactions are handled with care and attention to detail.
  • Customer Service (65%): Utilize a uniform script to place outbound calls to customers from leads obtained from various marketing sources. Your activities will include scheduling new appointments, confirming, rescheduling, or canceling appointments by validating customer information and project qualification.
  • Other (5%): Perform other job duties as assigned by your manager, demonstrating your flexibility and willingness to adapt to changing priorities and requirements.
  • arenaflex Process & Policy (25%): Answer inbound calls from internal and external customers who have been referred through a store associate, internet lead, or other source. Your activities will include scheduling new appointments, confirming, rescheduling, or canceling appointments by validating customer information and project qualification.

Management and Team Structure

In this role, you will typically report to a Contact Center Supervisor and will not have any direct reports. This structure allows you to focus on delivering exceptional customer service while receiving guidance and support from your supervisor to ensure your success.

Travel and Physical Requirements

This role does not require any travel, and you will be working in a comfortable indoor area with minimal physical demands. Most of your time will be spent sitting or standing in the same location, with occasional needs to stoop regularly or move/lift light material or equipment (typically less than 8 pounds).

Qualifications and Education

To be considered for this role, you must meet the following minimum qualifications:

  • Be at least 18 years of age or older
  • Be legally permitted to work in the United States

Preferred qualifications include:

  • Working knowledge of Microsoft Office Suite
  • Demonstrated ability to collaborate and work effectively with cross-functional teams
  • Ability to negotiate, handle complaints, settle disputes, and resolve grievances with both internal and external customers
  • Excellent written and verbal communication skills

The minimum education required for this role is a high school diploma and/or GED. While there are no specific educational requirements for this job, having a strong foundation in customer service principles and practices is essential.

Experience and Leadership
