Responsibilities

As an Administrative / Data Entry Assistant at blithequark, you will be responsible for:

  • Fielding inbound communications: Answer phone calls and respond to general email inquiries, routing them to the appropriate internal parties as needed.
  • Coordinating scheduling: Set up meetings based on cross-functional availability for both internal and external stakeholders.
  • Organizing internal resources: Build out and maintain processes to keep files and office supplies organized and easily accessible.
  • Liaising with visitors: Act as the point person for office guests and ensure a warm and welcoming experience.
  • Communicating policies and procedures: Alert employees of new processes, rules, and regulations.
  • Facilitating executive-level operations: Book travel, submit expense reports, and send communications for high-level staff as needed.

Requirements

To succeed in this role, you will need:

  • High school diploma: A minimum educational requirement.
  • 1-2 years experience as an administrative assistant, secretary, or receptionist: Previous experience in a similar role is preferred.
  • Strong organizational, communication, and time-management skills: The ability to prioritize tasks, manage multiple projects, and communicate effectively with colleagues and stakeholders.
  • Proven ability to work in a fast-paced environment: Experience working in a dynamic and fast-paced environment is essential.
  • Positive, high-energy attitude: A positive and enthusiastic approach to work is crucial for success in this role.
  • Resourcefulness, creativity, and problem-solving skill set: The ability to think critically and come up with creative solutions to complex problems.
  • Familiarity with office equipment: Experience with office equipment such as printers, fax machines, and projectors.
