Job Description Summary As the Executive Assistant to the General Manager of Customer Service Engineering at GE Gas Power, you will be a pivotal part of our team, dedicated to enhancing the performance and reliability of our power plant technology. Based in Atlanta, you will provide comprehensive support to the Global GM, ensuring their daily activities run smoothly, including the organization of their schedule, meetings, and travel arrangements. Job Description Role Summary/Purpose: Essential Responsibilities In this critical role, your key missions will include:
- Executive Support: Perform comprehensive administrative tasks such as managing critical communications, staff meetings, and All Employee Meetings for Customer Service Engineering.
- Relationship Management: Establish and nurture strong relationships with administrative staff across the organization to facilitate smooth exchanges.
- Schedule Coordination: Proactively coordinate the Global GM's schedule, including managing meeting and travel itineraries.
- Travel and Expense Management: Plan, schedule, and organize business meetings and travel itineraries, ensuring the validity of visas and passports, and prepare and reconcile expense accounts for the division. Process the Global GM’s travel expense records.
- Communication and Documentation: Prepare presentations, reports, spreadsheets, meeting minutes, and other informational materials. Participate in the management of expense accounts and budgets.
- Confidentiality and Discretion: Provide discreet and confidential coordination of sensitive business information.
- Executive Communication:Write, evaluate, and modify any communication to or from the Global GM and other executives.
- Project Management: Manage multiple projects and priorities, ensuring that commitments are met within the allotted time.
- Event Planning: Coordinate Engineering Activities and other Campus Activities.
- Technical Skills: Proficiency in computer tools (Microsoft Office Suite, Outlook, Teams, Internet).
- Soft Skills: Organized, rigorous, and a strong communicator (both oral and written). Enjoys working cross-functionally and has excellent interpersonal skills that facilitate daily exchanges. Proactive, methodical, analytical, and capable of making decisions in ambiguous situations. Demonstrated ability to handle highly confidential information with absolute security.
- Language: Fluent in English, both written and oral (essential for a global position).
- Education: BAC + 2/3 level in management assistance or equivalent experience/knowledge.
- Experience: Proven experience in assisting senior executives, preferably in a global role.
- Strong organizational skills and a keen sense of detail and precision.
- Ability to set priorities and anticipate needs.
- Capability to maintain the confidentiality of extremely sensitive information.
- Ability to make decisions in ambiguous situations and maintain self-control in tense and difficult situations.
- Ability to balance workload with tight deadlines and adapt priorities in a rapidly changing environment.
- Mastery of Internet tools and knowledge of web applications.
- Strong computer skills and proficiency in Microsoft applications (PowerPoint, Word, Excel).
- Excellent communication skills, both orally and in writing.
- Strong interpersonal skills and coaching abilities.
