As a member of our team, you will play a critical role in ensuring the timely and efficient retrieval of medical records, while providing exceptional support to our clients and record providers.
Key Responsibilities
As a Customer Service Associate (REMOTE) – Record Retrieval and Client Support Specialist, you will be responsible for the following key duties:
- Reviewing the daily call sheet from your Team Leader to prioritize your tasks and ensure timely follow-up with record providers
- Making phone calls to record providers to confirm receipt of written requests and updating the MCS diary system with the contents of the call
- Diarying the next call for proper follow-up activities and assigning the proper codes for status messages to clients
- Determining if a copy fee is required and arranging the preparation of the check
- Informing Request Processing of any address changes to providers or clients
- Keeping Client Specialist informed of difficult providers
- Preparing Excel spreadsheets as required by providers
Performance Metrics
To ensure the success of our team, we have established the following performance metrics:
- Non-Hospital Location Caller:
+ Upon completion of sixty-day probationary period, an average of 60 requests will be updated daily or 300 per week + Six months of employment: 325 assignment updates per week + Eleven months of employment: 350 per week + Sixteen months: 350 per week + Twenty-three months: 400 per week
- Hospital Location Caller:
+ Upon completion of sixty-day probationary period, an average of 65 requests will be updated daily or 350 per week + Six months of employment: 400 assignment updates per week + Eleven months of employment: 425 per week + Sixteen months: 450 per week
Qualifications
To be successful in this role, you will need to possess the following qualifications:
- Excellent oral and written communication skills, with strong interpersonal skills
- Strong client focus, with the ability to interact with customers at all levels
- Strong analytical and problem-solving skills, with a high level of attention to detail
- Ability to multi-task effectively and maintain organization and composure under high pressure
- Strong knowledge of Microsoft Office (Excel, Word)
- Capable of making timely, independent decisions
- Ability to work to deadlines and prioritize work
- Ability to work independently and as part of a team
Education Requirements
While an Associate degree is preferred, we will consider candidates with a High School Diploma or equivalent education and 1-2 years of related work experience.
Supervisory Responsibilities
This role does not have any supervisory responsibilities.
Physical Demands
As a remote worker, you will be required to sit for prolonged periods in a 7 1/2 hour to eight-hour day, with excessive use of phone, computer keyboard, and monitor.
Work Environment
You will be working with Management to ensure blithequark standards are met, and you must be able to work West Coast business hours.
