Key Responsibilities

  • Oversee the day-to-day operations of the office, including answering phones, responding to emails, managing incoming and outgoing correspondence, and managing service appointments
  • Coordinate the scheduling of technicians for service calls, installations, and repairs, ensuring timely and efficient dispatch to job sites
  • Monitor technician schedules and adjust as needed to accommodate emergencies or last-minute changes
  • Serve as the primary point of contact for customer inquiries, scheduling appointments, and addressing concerns or complaints
  • Provide excellent customer service by promptly responding to customer inquiries and resolving issues in a professional manner
  • Organize and maintain systems for documents, invoices, and client records, ensuring accuracy and attention to detail
  • Process payments from customers and follow up on overdue accounts as necessary
  • Assist in setting up and implementing ServiceTitan, our dispatching software
  • Take on additional responsibilities to support the growth and success of the company

Essential Qualifications and Skills

To succeed in this role, you'll need:

  • Experience in dispatching, preferably in a similar industry such as plumbing, HVAC, or electrical services
  • Proficiency in Google Suite, Slack, and dispatching software such as ServiceTitan
  • Excellent time management skills and the ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent communication skills, with the ability to effectively interact with customers, suppliers, and team members
  • Familiarity with plumbing/HVAC/service terminology, processes, and materials (beneficial but not required)
  • A clear background check

Preferred Qualifications

While not required, the following qualifications can give you a competitive edge:

  • Previous experience in a customer-facing role, particularly in the trades industry
  • A proven track record of providing exceptional customer service and support
  • Experience with ServiceTitan or similar dispatching software
